Job Summary:

As the Executive Assistant to the Founder & CEO, you'll do so much more than manage schedules or be a glorified secreatry —you'll help turn ideas into action. This role is perfect for someone who thrives on creating structure in a fast-paced environment, anticipates needs before they arise, and loves solving complex problems.

Reports to: Founder & CEO

Works with: Leadership team, internal staff, clients and external partners.

Job Goal: Maximize the CEO's effectiveness and create operational clarity during a period of high growth.

Key Responsibilities:

  • Masterful Calendar Management: Orchestrate the CEO's professional and personal schedules to ensure time is spent on high-priority tasks.
  • Project Leadership: Drive completion of a wide variety of projects, special assignments and key initiatives by researching, analyzing, and collaborating with internal teams and external stakeholders. Act as a trusted ambassador, building and nurturing key relationships across all levels of the organization and external partnerships.
  • Communication Coordination: Serve as a primary point of contact, drafting emails, preparing presentations, and representing the CEO in communications when needed. Serve as the command center for executive communications, masterfully triaging the inbox and ensuring critical conversations never falter.
  • Organization Guru: Create order from chaos by streamlining workflows, organizing projects, and managing competing priorities with ease. Systemize repeat tasks and ensure the neccesary things get done.
  • Proactive Problem Solving: Anticipate challenges, identify creative solutions, and handle sensitive issues with discretion.
  • Meeting Preparation: Prepare agendas, documents, and action plans to ensure meetings are effective and outcomes are actionable.
  • Travel Management: Coordinate travel arrangements, reservations, and itineraries for both business and personal trips.
  • Personal Assistance: Create and maintain an ecosystem of personal support that allows our CEO to focus purely on driving company success. This can range from the mundane every day tasks to complex engagements. Although you are in a high-level support role, these tasks are critical and therefore you wont consider them beneath you.
  • Event Management: Coordinate company events, and trade shows.
  • Follow Through: help drive the completion of key deliverables by following up on outstanding items and acting as a liaison for our CEO's direct reports

Qualifications:

  • Experience as an Executive Assistant, Personal Assistant, or in a similar role (operational experience in fast-paced or startup environments a plus).
  • Proficient in Microsoft Office & Teams Google Suite, and productivity tools like trello, monday etc. CRM and ERP experience a plus.
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Highly proactive, resourceful, and solutions-oriented.
  • Incredibly trustworthy, comfortable handling sensitive and confidential information with discretion.
  • Bachelor's degree or equivalent experience preferred.
  • Marketing experience a plus.
  • Tech-savvy; you quickly learn new software and leverage technology to streamline tasks and solve problems efficiently.
