Job Title: Executive Associate, Corporate AffairsDepartment: ExecutiveReports to: Both Chief Executive Office and General Counsel FLSA Status: ExemptLocation: Midtown Manhattan Schedule: Mon-Fri, 9:00 a.m. to 5:00 p.m. In office.Salary: $70,000 $75,000 annually, plus eligibility for year-end discretionary bonus based on performance. Compensation will be based on education, training and prior relevant experience.Opportunity for a highly motivated individual to join one of the leading not-for-profit affordable housing organizations in the US. Phipps Houses is New York City's oldest and one of its largest developer/owners of affordable housing. It is a multi-faceted real estate organization, involved in the development, finance, construction and asset management of new and rehabilitated multi-family housing for low to middle income New Yorkers. Through its subsidiary, Phipps Houses Services, Inc., it conducts residential and commercial property management, and its tax-exempt affiliate, Phipps Neighborhoods, provides human services to its residents and surrounding communities.Phipps is looking for an Executive Associate to join the Office of the CEO to have an immediate impact on strategic initiatives, communications with the board of directors and key decision-makers, project management, and enterprise risk management and assessment. The Executive Associate will support the office of the CEO, including the CEO, General Counsel, and Chief of Staff.Phipps prides itself on the longevity of its mission, its focus, and its staff as well as the team-oriented culture we have built. The Executive Associate will be a critical member of the senior team.SummaryBoard and Key Stakeholder CommunicationsThe Phipps Houses group of companies consists of over 50 affiliated legal entities. The board of trustees of the principal entity, Phipps Houses, consists of professionals distinguished in a wide range of fields, with a special focus on commercial real estate and finance, volunteering their time in the service of Phipps' charitable mission. The Executive Associate will:
  • Oversee select daily operations through collaboration with board members, senior management and department leaders, performing an array of tasks such as: reviewing/drafting reports, and presentations; planning and coordinating meetings involving key stakeholders and decision-makers; and researching, benchmarking, and analyzing data to make informed decisions.
  • Assist in overseeing the effective operations of Phipps Houses Board Committees and its Executive Committee, including ensuring timely and high-quality presentation materials and productive meeting cadences.
  • Schedule board meetings, interact with board members to answer their questions, gain their insight and ensure their participation in board meetings, their receipt of briefing materials and their compliance with certain conflicts of interest procedures. The same roles will be carried out for the other Phipps property-owning entities whose boards consist of Phipps executives.
  • Under the guidance of the General Counsel, track and create corporate records for all board meetings and board member data; prepare sensitive disclosure materials; assist in corporate compliance activities and best practices for all Phipps entities; assist in a broad array of risk management activities for all Phipps entities, including collaboration with external risk advisors.
Strategic Initiatives
  • Lead and support in special projects that align with the organization's strategic asset management, particularly in areas at the request of the CEO and other Executive leaders.
  • Assist in researching and carrying out analyses of various operations, including involvement with real estate development and asset management for property financings and dispositions.
  • Work with Director of Communications and Chief of Staff to research and prepare briefing materials for external and partner speaking/presentations for the CEO.
Risk Management
  • With the guidance of strategist risk advisors, assist the CEO and General Counsel in preparation and review of materials summarizing property and operations for placement of risk transfer programs.
  • Review leases and vendor agreements and communicate with outside business partners to ensure that obligations for risk transfer is being maintained.
  • Compile and maintain master list of parties to whom Phipps is obligated to co-insure and direct insurance consultants/brokers to provide evidence.
  • Work with General Counsel and CFO to ensure smooth operation of Phipps' SIR Trust self-insurance program, including periodic evaluation of adequacy of reserves.
Education and/or ExperienceMinimum of a Bachelors' degree (B.A.) required.Although at least five years' experience working in a business, governmental or professional setting is preferred, an individual demonstrating aptitude for quickly acquiring the necessary skills for the job will be considered. The position offers the opportunity for training through direct, day-to-day interaction with highly experienced professionals. Computer SkillsProficiency in Microsoft Office Products (Word, Outlook, Excel) is essential.
