POSITION SUMMARY The Executive Coordinator reports to the Director and provides administrative support for the senior administrative team. Partnerships for Parks is a joint program of New York City Parks and City Parks Foundation (CPF). Partnerships for Parks (PfP) supports and champions a growing network of leaders caring and advocating for neighborhood parks and green spaces. We equip people, organizations and government with skills and tools to help ensure these spaces are dynamic community assets. Compensation: $22 - $24 per hour This is a temporary position for 3 months with the option to extend MAJOR RESPONSIBILITIES
  • Provide administrative support to the director, deputy director, and program director team, taking the initiative to ensure operations are running smoothly and needs are met in a timely manner.
  • Collaborate with staff from NYC Parks, CPF, and PfP to execute work thoroughly and on deadline
  • Manage office logistics including but not limited to equipment and supply management, material distribution, and facility organization
  • Track departmental expenses by creating, reviewing, and reconciling financial reports; establish processes to ensure compliance across teams
  • Lead the purchasing, storage, and tracking of supplies using NYC Parks, CPF, and PfP systems; handle all related forms, distribution, and follow-up
  • Support meetings by creating presentations and agendas, handling copying/printing needs, note taking, and follow-up communication
  • Manage scheduling for the director and PfP team
  • Answer phones, handle mail, and manage official correspondence and general inquiries
  • Lead onboarding and offboarding processes and tasks; assist with hiring as necessary
  • Assist with the creation and distribution of standard operating procedures
  • Serve as the central point of contact for staff and manage internal communications including daily staff newsletter and staff announcements, contribute intranet content
  • Organize and maintain filing systems
  • Assist with event planning and logistics for staff retreats, meetings, and other events
  • Work on special projects as needed
  • Staff priority events and projects during weekdays as well as nights and weekends
QUALIFICATION REQUIREMENTS
  • A baccalaureate degree from an accredited college and two years of experience in administrative or clerical work in an area related to the duties described above; or
  • High school graduation or equivalent and four years of experience in administrative or clerical work in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to 1 or 2 above
PREFERRED SKILLS/QUALIFICATIONS
  • Ability to work independently and initiate projects to completion
  • Excellent writing, communication, interpersonal, and organizational skills.
  • Proficiency in computer software including Google applications and the MS Office suite including Microsoft Word, Excel, Outlook and PowerPoint
  • Ability to create and manage financial tracking reports
  • Excellent data analysis and reporting skills
  • Facility/office management experience
  • Experience creating and executing events
  • Ability to multitask under pressure
  • Valid New York State driver license
  • Ability to work evenings and weekends
