The Job

Our law firm is actively searching for a dynamic and experienced Executive Director of Firm Operations to take charge of our business operations at the highest level. This critical leadership position comes with substantial authority over essential non-legal functions such as strategic planning, financial oversight, and staff leadership. In this role, you will work hand-in-hand with the firm's owner and executive team, not only to optimize operational efficiency but to spearhead initiatives that will drive the firm's long-term growth and success. The Daily

We are seeking an innovative, collaborative senior professional who is passionate about driving change and enhancing operational processes. This leader must inspire and influence by setting a high standard, consistently embodying a positive attitude, unwavering work ethic, and a deep commitment to our firm's core values. They will be eager to implement new strategies and foster a culture of excellence within the organization.

  • Leadership & Strategic Planning:

Develop and implement the firm's business plan, budget, and strategic calendar in partnership with the owner and executive leadership. Lead annual and quarterly planning sessions focused on firm goals, revenue targets, and cultural development.

  • Operations Management:

Oversee all non-legal operations, including HR, IT, facilities, and marketing. Ensure that business systems are fully documented, efficient, and aligned with firm objectives. Work closely with department heads to drive the execution of firm-wide initiatives, ensuring consistency and alignment with business goals.

  • Human Resources & Staff Supervision:

Directly manage all non-attorney staff, including department heads, ensuring performance aligns with firm standards. Lead recruitment, hiring, onboarding, and performance management processes. Collaborate with the owner and COO on disciplinary actions, promotions, and terminations. Ensure compliance with employment regulations and oversee payroll and benefits administration.

  • Financial Oversight:

Work with the CFO and fractional advisors to implement and monitor the firm's financial health, including budgeting, expense management, and key financial reporting. Lead regular financial reviews, including analysis of variance reports, and provide strategic advice to the executive team to improve profitability.

  • Systems & Process Improvement:

Lead the development, review, and continual improvement of the firm's operational systems, including marketing, sales, case management, time tracking, billing, collections, and risk management. Ensure all business processes are fully documented and employees are trained on systems and procedures.

  • Compliance & Risk Management:

Ensure the firm adheres to legal, ethical, and regulatory standards across all operational aspects, including attorney continuing education, corporate filings, insurance, and data security. Regularly audit and spot-check key business systems to ensure compliance and identify areas for improvement.

  • Vendor & Facility Management:

Oversee relationships with external vendors, including IT providers, marketing consultants, and facility management. Ensure office facilities and technology infrastructure meet firm needs, negotiating contracts and addressing maintenance or service issues as needed.

Ideal Candidate Profile (Skills and Expertise):

Education and Experience:

  • Bachelor's degree in Business, Accounting, or related field, or equivalent work experience
  • Extensive experience in operational management (law firm experience preferred, but not required)
  • Proven ability to lead, manage, and motivate teams, including senior-level professionals
  • Exceptional leadership and management skills with a history of guiding teams toward operational excellence
  • Skilled at managing complex projects and teams in a fast-paced, dynamic environment
  • Strong financial acumen with expertise in budgeting, bookkeeping, performance analysis, and financial oversight
  • Deep understanding of financial reporting, budgeting, and HR management
  • A strategic thinker with the ability to lead operational improvements across diverse business functions
  • Strong analytical and problem-solving skills with a focus on identifying inefficiencies and implementing effective solutions
  • Tech-savvy with a focus on optimizing processes through technology and automation
  • Proficient in Google Suite
  • Experience with Gusto (Payroll platform), Law Maddox, and Case Peer (preferred, but not required)
  • Familiarity with HR best practices, compliance regulations, and employee relations

Pay: $115,000.00 - $135,000.00 per year
