Job Summary: Assists the Executive Vice President and the offices of Admission and Financial Aid in the work of the university, and is responsible for the overall flow of office operations.Duties/Responsibilities:This job description is not to be construed as an exhaustive statement of duties or responsibility requirements.   • Supports the Executive Vice President by managing the meeting schedules, office functions, and assists the EVP in managing the office schedule.
  • Using a computer and appropriate software, types, proofs and edits correspondence and reports for the vice president from dictated media or handwritten documents; makes copies as appropriate for distribution.
  • Prepares check requests as necessary to assure payment of invoices, travel reimbursements,
honorariums, etc.
  • Creates purchase order requests in accordance with purchasing guidelines.
  • Maintains files for budget accounts for enrollment management (admission, financial aid), verifying accuracy of printouts and assuring fiscal responsibility.
  • Assists EVP in organizing budget requests from departments for annual budgetary process.
  • Plays an integral part of the strategic planning, logistical coordination, recruitment, and implementation of SEM programming (international recruitment, transfer recruitment, events, visits, etc.).
  • Assists the EVP by gathering data and completing statistical reports using a computer, calculator and appropriate software: annual enrollment reports; surveys on institutional data on enrollment and retention by grade level, department association, etc.
  • Takes minutes for meetings of the Enrollment Management department, including Trustee Board Committees as needed.
  • Using organizational skills, knowledge of filing systems, and accuracy, maintains files of correspondence, reports, and general information for enrollment management.
  • Support campus visit operations as necessary.
  • Other duties as assigned.

  • Must possess a mastery of office skills and the ability to proof and edit own work.
  • Ability to operate commonly used office machines: personal computer, dictation equipment, typewriter, copier, calculator, telephone, facsimile.
  • Must be proficient in the use of Microsoft Office software, specifically Word, Excel (the ability to create graphs from spreadsheets), Outlook, Internet Explorer, PowerPoint), and the ability to view computer screen and use keyboard for extended periods. The ability to learn to utilize the iSeries mainframe.
  • Demonstrates the ability to assume responsibility without direct supervision; ability to anticipate needs to facilitate workflow of office.
  • Exercises initiative and judgment; uses discretion in order to maintain office confidentiality.
  • Makes decisions within the scope of assigned authority.
  • Excellent communication skills (written, oral and interpersonal) to deal effectively with courtesy and respect to communicate with students, faculty, and others.
  • A professional appearance and manner are necessary for dealing effectively with students, faculty and others.
  • Analytical and mathematical skills are necessary for data gathering and statistical report preparation.
  • High energy level necessary for a multi-task environment.
  • Ability to handle complex tasks to respond to workload.
  • Excellent organizational skills are necessary to complete work.
  • Attention to detail is necessary for completing work accurately.
  • Willingness to be flexible to meet the demands of the office.
  • A combination of training and experience is needed to meet the expectations of the position.
  • Ability to travel when needed.
Education and Experience:
  • Associate's degree in related area and 3-4 years' experience in a similar position, or the equivalent combination of education and experience. CPS certification preferred.
Supervisory Responsibilities:May supervise student staff. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
