Job Description :

We are seeking an experienced and highly organized Executive/Personal Assistant to support a high-profile individual with both professional and personal tasks. This part-time role requires exceptional multitasking skills, the ability to manage confidential matters, and a proactive approach to handling diverse responsibilities. While many tasks can be performed remotely, occasional travel for events, meetings, or personal assistance will be required.

Key Responsibilities:

Executive Support:

  • Coordinate and manage a complex calendar, prioritizing and organizing personal and professional appointments, events, and deadlines.
  • Research, book, and manage detailed travel itineraries for both business and personal travel, ensuring seamless logistics.
  • Serve as the primary point of contact, managing emails, phone calls, and social media messages with professionalism and discretion. Draft and respond to communications as needed.
  • Plan and execute meetings, professional appearances, and social engagements, ensuring all logistics are handled efficiently.
  • Create, edit, and manage documents, presentations, and reports as required.

Personal Assistance:

  • Handle personal errands such as making purchases, managing household needs, and other day-to-day tasks.
  • Liaise with vendors, service providers, and household staff to ensure smooth operations at home.
  • Coordinate personal travel and accompany the employer during trips when required.

General Responsibilities:

  • Maintain strict confidentiality in all matters pertaining to the employers personal and professional life.
  • Be prepared to manage urgent tasks and respond to time-sensitive requests outside of standard working hours.
  • Support on unique and ad hoc projects that require organizational and creative problem-solving skills.
  • Oversee and manage additional support personnel as required.

Qualifications:

  • At least 2+ years of experience as an assistant to high-profile individuals or in a comparable role requiring discretion and professionalism.
  • Strong time management, multitasking abilities, and a detail-oriented approach.
  • Proficient in Microsoft Office, Google Workspace, and scheduling tools; familiarity with social media platforms and basic management tools is a plus.
  • Exceptional verbal and written communication skills.
  • Availability for occasional travel, including overnight stays, and adaptability to work in a fast-paced, ever-changing environment.

Preferred Skills:

  • Experience coordinating events and managing logistics.
  • Familiarity with public relations or social media management is advantageous.
