We are seeking a highly experienced and proficient Executive Assistant to join an award-winning, AD100 architecture firm reporting directly to the Founder & Principal. This role will be fast-paced, busy and require meticulous attention to detail to manage workload to a high standard.
Role Responsibilities
- Serve as the primary point of contact for clients, vendors and business partners.
- Manage all inboxes, diary, calendars, appointments including all correspondence to ensure smooth communication between internal and external stakeholders.
- Full management of travel arrangement between offices and states
- Full management of onsite and offsite meetings, events and award invitations including vendor coordination.
- Prepare and manage documents, presentations and reports aiding the Founder/Principal.
- Assist in organising and planning projects, providing thorough research and coordination support to meet the firm's creative and strategic goals.
- Handle sensitive information with the upmost confidentiality and professionalism.
- Office Management to ensure all supplies are readily available including stationary, perishables and other requirements for seamless daily running of the office.
- Support on ad-hoc personal errands and correspondence, when required.
Person Specification
- Well-experienced EA/PA supporting c-suite level executives
- MUST hold demonstrable background working in architecture/interior design industry
- Highly proficient and organised, well-presented, articulate.
- Able to perform duties to the highest standards under time pressures
- Hours will include occasional evenings/weekends where TOIL or compensation will be paid – applicants must be willing to undertake these hours.
