Job Description The Experienced Shop Dispatcher is responsible for coordinating the daily activities of a workshop, ensuring smooth and efficient dispatch of work orders, managing technicians and staff, and optimizing workflow to meet customer service standards and deadlines. This role requires strong organizational, communication, and problem-solving skills to effectively prioritize tasks, monitor progress, and address any issues that arise during the process.   • Dispatching Work Orders: Review and assign incoming work orders to appropriate technicians based on skills, availability, and urgency.
  • Managing Workflow: Monitor the progress of ongoing tasks, ensuring timely completion and compliance with quality standards.
  • Scheduling and Coordination: Coordinate work schedules, ensuring adequate staffing to meet service level agreements (SLAs), and adjust schedules as needed based on changes in workload or emergency situations.
  • Communication: Maintain clear communication with technicians, shop managers, and customers regarding job status, delays, or issues. Provide updates and respond to queries.
  • Inventory Management: Ensure that required materials, parts, and tools are available for scheduled jobs. Coordinate with inventory personnel to order and restock supplies when necessary.
  • Problem-Solving: Address any operational issues, such as equipment breakdowns, technician delays, or customer complaints, and provide solutions to keep operations on track.
  • Customer Service: Maintain positive relationships with customers, ensuring that service expectations are met, and provide any necessary follow-up or assistance.
  • Documenting and Reporting: Keep accurate records of work orders, completed jobs, technician performance, and any customer feedback. Generate reports as needed for management review.
  • Safety Compliance: Ensure that all safety protocols and procedures are followed by shop staff and technicians to create a safe working environment.
Qualifications:
  • Proven experience as a dispatcher in a shop, warehouse, or service industry.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Ability to problem-solve and adapt to changing situations quickly.
  • Knowledge of scheduling software or dispatch management systems.
  • Familiarity with workshop tools, machinery, or services provided (depending on industry).
  • Ability to work well under pressure and meet tight deadlines.
  • High attention to detail and accuracy in documentation.
