Job Summary

Supports and implements assigned educational programs that are designed to foster the acquisition of knowledge and development of individuals that align with the mission of Illinois Extension. Works under general supervision to organize, coordinate, and perform a variety of duties requiring knowledge of university procedures and methods.

Duties & Responsibilities

* Program Coordination

* Assist in publishing learning opportunities provided by the DEIA, GA and SPI teams.

* Maintain knowledge of programs and activities, to provide adequate responses to inquiries.

* Refer interested individuals to the correct office for programming support and/or online resources.

* Assist in coordination of regional and statewide training and learning opportunities for staff and community members.

* Assist with maintenance of the DEIA and SPI websites and other support social media as they are developed and used.

* Assist with coordination of volunteer involvement as needed, this may include recruitment, confirmation of commitment, and logistics for participation.

* Provide as needed support to volunteers that assist the DEIA, GA and SPI teams, this includes, but is not limited to, regular communications and Extension State Advisory Council (ESAC) members and support at their semi-annual meetings.

* Coordination of Illinois Extensions representation at state and national events, such as the National PILD conference, Ag Day at the Capital, Ag Day at the Illinois State Fair, Sale of Champions at the Illinois State Fair, Farm Progress Show, and others.

* Provide support during civil rights compliance review season by helping to organize review teams and communications with the team, units, and offices.

* Collects and prepares routine evaluations concerning Extension programs as director. This includes summarizing data and working with the state mar-com team for distribution of outcomes.

* Maintain Extension databases of past participants, volunteers, committee members, and supporters.

* Coordinate meeting room reservations, rentals, set-ups, and key arrangements online via Outlook. Ensure adequate supplies of teaching materials as requested by professional staff members.

* Other/Professional Development/Fiscal

* Chrome River delegate for staff based in designed units within Illinois Extension. This is related to travel, p-card, t-card, and vouchers as needed.

* Make necessary purchases as directed using the university-issued p-card or t-card in compliance with purchase procedures and procurement laws, this may include establishing purchase orders if needed.

* Use Banner and ACES Data Warehouse (ADW) to pull monthly reports and assist with tracking of budget for assigned accounts.

* Other/Professional Development

* Perform duties in a professional manner when dealing with staff and the public.

* Maintain confidentiality with information shared.

* Attend professional development that is assigned or aligns with the mission of Illinois Extension.

Additional Physical Demands

To perform the functions of this position, the employee will be required to perform work both within an office and outside in the communities that are served, and must have the capability to travel from one location to the other in a timely fashion. Employee is responsible for securing personal transportation. A valid driver's license is preferred. Some work will be required during evenings and/or weekends. When working, the employee may be exposed to a variety of environmental factors to include, but not limited to, hot or cold weather, exposure to noise and allergens, and uneven ground. In performing the functions of this position, the employee may be subjected to various mental and physical demands as well to include, but not limited to, independently traveling to and performing work at different locations, lifting and moving items that may occasionally weigh up to forty (40) pounds and frequently weigh up to twenty (20) pounds, and twisting, pushing and pulling movements. Minimum Qualifications

High school graduation or GED

Any one or any combination that equals four (4) years/ 48 months of responsible volunteer or professional work experience in coordinating educational and/or community programs or activities

Volunteer/work experience coordinating educational and/or community programs or activities

College coursework in any field of study

60 semester hours equals two (2) years (24 months)

90 semester hours equals three (3) years (36 months)

120 semester hours or more equals four (4) years (48 months)

Specialty Factors

Demonstrated experience and/or coursework in marketing, communications, and/or event planning/coordination.

Knowledge, Skills and Abilities

* Knowledge of marketing, communications and/or event planning/coordination.

* Ability to work with diverse audiences.

* Ability to learn Extension programs and general University of Illinois policies and procedures.

* Knowledge of Word, Access, Excel, PowerPoint, Publisher, and other web applications.

* Ability to perform tasks within the University Banner System, Chrome River, and other systems as they apply.

Appointment Information

This is a 100% full-time Civil Service 0929 - Extension Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible. Salary is $43,000.
