Job Summary: Provide administrative support for the facilities department; including work order processing, HVAC scheduling, vehicle maintenance, uniform purchasing, and facilities use coordination. Qualifications: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skills and/or ability necessary.
High school diploma or equivalent. Accurate record keeping skills and basic office skills. Excellent communication and interpersonal skills. Must possess a basic knowledge of athletic sporting operations. Proficiency in the use of technology for individual and system management, communication, and research. The employee is frequently required to communicate to provide accurate information to others and to obtain and follow directions. The position requires meeting deadlines with severe time constraints, interacting with staff and the public, and occasional irregular or extended work hours. Constantly required to demonstrate good judgment and safety. Ability to make decisions in accordance with established procedures and policies. Maintains the status of all requests and invoices, generating monthly aging reports and collecting past due balances Maintain building occupancy schedules in building automation software and routinely adjust schedules based on holidays, weather and building usage Monitor facility use requests and create special events in building automation software to provide heating and air conditioning on evenings and weekends as required Acts as point of contact for all events associated with the Use of Facilities Policy Assist maintenance staff in trouble shooting HVAC comfort complaints by checking the building automation system Order uniforms and monitor employee uniform allotments for maintenance and custodial employees Reviews all requests for completeness and policy compliance and verifies facility availability Enforces compliance with policies and safety procedures Provide secretarial duties for Facilities Department, including receiving calls, setting-up appointments, and meetings, processing daily mail, drafting correspondence, and creating reports This position description does not express or imply that these are the only duties to be performed by the incumbent(s) in this position.
