The Faculty Senate Coordinator (FSC) is responsible for coordinating, organizing, and managing all administrative duties of the UNO Faculty Senate, its standing committees, and the physical office. The FSC also works with the grievance committees, university administrators, and the faculty. The FSC is generally charged with a) handling administrative responsibilities and duties, b) providing coordination and support for all regular meetings involving the Faculty Senate, Executive Committee, and/ administration, and c) supporting the FS President and Executive Committee in leading FS business. Additionally, the FSC provides support related to community engagement including assisting with project coordination and support, administrative tasks, and connecting both faculty and community partners with the information and resources they may be seeking about engagement on campus and in the community. The FSC must be self-motivated, an independent worker, have excellent problem-solving skills, be well-organized and detail-oriented, and be able to handle and prioritize multiple tasks and deadlines simultaneously. The FSC must exhibit professionalism and exceptional communication skills. The FSC must also be trustworthy and able handle sensitive and confidential information. While formal supervision of the FSC is provided by the AVC for Academic Affairs, daily supervision and guidance is provided by the FS President. Incidental supervision on community engagement tasks is provided by the Associate Director of the Office of Engagement.

Job Duties

Responsibility Area: Administration Duties and Responsibilities Duties:

The FSC is broadly responsible for the proactive, efficient, and effective administration of all Faculty Senate (FS) business including (but not limited to) a) coordinating all aspects of FS meetings (e.g., maintaining distribution lists, calendar invites, room reservations, sending reminders, etc.), b) tracking the status of all FS business and resolutions (e.g., numbering system, vote counts, maintain master record of all resolutions and their status), c) maintaining well-organized files and records of current and past FS business including the archival of previous year records with the library, d) handling FS phone calls and correspondence (e.g., mail, FS email, phone calls, etc.), e) onboarding new senators and sharing information on FS activities, f) monitoring the FS budget and creating monthly budget reports, g) handling and tracking contributions to the Paul Beck Memorial Scholarship, h) maintaining and updating the FS website, and i) ordering equipment and supplies.

The FSC is responsible for providing professional administrative support for the FS President and Executive Committee consistent with their needs for leading FS business including (but not limited to) the following: a) creating and maintaining a master FS calendar to facilitate planning, coordinating all meetings for the President and the Executive Committee (e.g., room reservations, calendar invites, catering), b) keeping the FS President and Executive Committee apprised of upcoming business, elections, and issues in need of attention, c) conduct research as needed to support FS business and requests from senators and administration, d) prepare memo to President Elect's dean and department chair notifying them of upcoming teaching load reductions and/or salary buyout and as directed by the Executive Committee.

Percentage Of Time 25 Essential Function: Yes Responsibility Area: Meeting Administration and Support Duties:

The FSC is responsible for providing comprehensive professional support for FS meetings (i.e., Executive Committee, full FS, meetings with administration, annual retreat) including (but not limited to) a) preparing the agenda, information packets, and resolutions as needed, b) acquiring all monthly reports from the standing committee chairs to include in agendas, c) collaborating closely with the FS President and Executive Committee to identify agenda items and any additional information needed, d) attending and recording accurate meeting minutes and resolutions (approximately 3-4 per month), e) providing accurate information on FS bylaws, policies, and procedures as needed to support FS business, f) drafting and finalizing follow-up communications on resolutions passed and decisions made at meetings as required (e.g., all resolutions are shared with administration) and as directed by the FS President and Executive Committee, and g) scheduling guest speakers.

The FSC is responsible for providing administrative support for community engagement (including but not limited to) a) assistance with administrative tasks as requested, b) project coordination and support, and c) researching information needed and responding to inquiries from community partners about faculty expertise and interest in engagement on various projects/events and inquiries from faculty about opportunities for community engagement related to their teaching, research, and/or service. Direction for this work will be provided by the Associate Director of the Office of Engagement and may include 1) supporting faculty in integrating community engagement into their teaching, research, and service, b) helping to create and sustain partnerships that align with the university's engagement goals (e.g., fostering involvement in local projects), and c) maintaining records of engagement projects and partnerships, enabling better reporting, and showcasing the university's impact.
