Norman Public Schools Field Trip Secretary Job Title: Transportation Field Trip Secretary Credentials: Oklahoma driver's license Willing to obtain CDL with P & S endorsements within 90 days Education: High School Diploma or GED Training or Applicant must be skilled with Microsoft Word, Excel, basic office experience machines and computers including copiers and Google email, required: Google Drive and Google Sheets. Previous experience in scheduling vehicles, dispatching, customer service, and excellent customer service skills. Site: Transportation Services Reports to: Director of Transportation Contract: 260 days Salary Schedule: Secretary 1 FLSA Classification: Non-exempt Essential Job Functions: Willing to become a positive influence and join a National Award-winning team. Planning and execution: Ensure field trips are executed smoothly and follow school policies and procedures. This includes local and out of town trips. - Communication: Work with teachers, field trip leads, and attendees to ensure a good experience for the school community. This includes follow-up with field trip hosts and resolving complaints from attendees.
- Record keeping: Maintain records of events and a reference file of past field trips utilizing our Tripfinder software.
- Cost: Ensure trips are cost effective for both the school and parents. This includes accurately forecasting trip costs.
- Reporting: Provide reports to school leadership on trips, attendance, and costs as requested.
- Provide maps and directions to destinations
- Prepare and send out billing of field trips and leased vehicles to the Finance Department as required
- Maintain confidentiality of information
- Perform all primary and collateral duties as assigned by the Director.

Creativity, initiative and effective problem solving are critical to the success of the position. Since there may be several ways to solve a problem, an incumbent is free to choose the best solution. Staff members in this position will utilize discretion, ingenuity and independent judgment due to the complexity of the job. Utilization of Transportation Services software programs to maintain optimum efficiencies. Provide training and support to district staff in the use of our Tripfinder computer systems and programs. Perform such tasks to the ultimate benefit of the Transportation Services and the safe transportation of students. You must have manual/hearing/speaking/vision abilities sufficient to perform assigned duties, operate computer, use telephone, 2-way radio, and communicate with district employees and the public. Employee must have the mental capabilities to handle the day-to-day stress of the job, apply reasoning and self-control under adverse conditions. Employee is subject to call out and overtime work. In a workday, the employee may sit 2-3 hours per day; or stand 3 hours per day; or walk 2 hours per day. Job requires occasional bending/stooping; squatting/crouching; occasional climbing 3 feet; occasional reaching above shoulder; continuous pushing/pulling. Job requires occasional carrying/lifting of up to 10 pounds.
