Organization Overview:Our Los Angeles-based client, the Santa Monica Fund (the Fund ), is a start-up, non-profit Taft-Hartley Trust Fund passionate about its mission to provide exemplary services in healthcare and benefits administration to its UNITE HERE! union members and their families. If you're passionate about growth, making a meaningful impact, and driving positive change, join their mission to support their community's well-being.Position Overview:Provides confidential, highly responsive and accountable, hands-on management of the day-to-day operations of SMF finance and payroll functions, including staff-related programs, education, and legal compliance. Manages and supports the full spectrum of general and complex administrative and operational activities for general finance, accounting, bookkeeping, and payroll, relevant 3rd-party administrators and vendors, as well as partnering with other SMF functional areas (as warranted) to support their activities, including education and operational and process improvements. Performs a variety of tasks in general finance, accounting, bookkeeping, and general-ledger, including timely and accurate management and processing of accounts payable invoices, expense reimbursements, bank and vendor-invoicing reconciliations, monthly close, vendor monitoring and reporting, financial data entry and maintenance, and maintaining the fixed-assets system. Performs a variety of tasks in payroll, including timely and accurate payroll processing, timekeeping, reconciliations, vendor monitoring and reporting, data entry and maintenance, legal compliance, and staff education (as warranted).What You Will Be Responsible For:Finance and Payroll
  • Supports the day-to-day operational accuracy, integrity, safeguarding, and efficiency of SMF's finance and accounting activities.
  • Works closely with the Director of Operations to support Plan Auditors and Accounting on annual financial audits; support the Plan Auditor to establish procedures to ensure sound internal controls.
  • Conducts research and root-cause analysis to identify gaps and discrepancies, and offers solutions to resolve issues.
  • Maintains and reviews financial and payroll databases, information systems, programs, processes, policies, procedures, vendor feeds, and forms/documents to ensure compliance and clarity.
  • Makes recommendations for finance and payroll process, operational, and program improvements and enhancements to improve the quality, accuracy, and services delivered to Trustees, management, and staff.
  • Ensures all communications and required notices and filings are completed with proper internal reviews and approvals, and submitted and/or distributed in a timely, compliant manner.
  • Supports and ensures ongoing evaluation of overall performance by gathering, analyzing, interpreting, and reporting data and metrics with recommendations/solutions, as warranted.
  • Cross-trains with the Employer Services and Payroll Audit functions to provide operational support (as warranted) and job growth opportunities.
  • Board of Trustees Meetings: supports the preparation of materials for Board of Trustees meetings; helps develop relevant agendas for meetings, as needed; supports the Director of Operations to work with Trustees and plan professionals to prepare and distribute relevant materials for meetings; monitors deliverables.

What You Bring to the Role:Years of Experience and Working Knowledge
  • Require 5+ years of increased responsibility and direct experience in and working knowledge of performing finance, accounting, bookkeeping, accounts payable, and related activities, including GAAP and other accounting procedures and regulations.
  • Require 3+ years of direct experience in and working knowledge of finance, accounting, timekeeping, and payroll technology solutions, including creating, managing, and auditing efficient document-filing systems and recordkeeping.
  • Require 2+ years of increased responsibility and direct experience in and working knowledge of performing payroll, timekeeping, and related activities, including and other payroll procedures and regulations, IRS and other tax regulations.
  • Strongly prefer 3+ years of experience in a health plan.
  • Strongly prefer 3+ years of experience in project management in a growth-oriented environment.
  • Strongly prefer direct experience in and working knowledge of finance and accounting software solutions, in particular Bill.com and Expensify.com.
  • Prefer experience in and working knowledge of employee benefit plans and related governmental/legislative regulations (ERISA, DOL, IRC, HIPAA, ACA, etc.).
  • Prefer experience in Taft-Hartley or collective-bargaining environment.
Education, Licenses, and Certifications
  • Require a Bachelor's degree in finance, accounting, or related field, or equivalent work experience.
  • Prefer project management-related experience and/or certification.
  • Prefer Six Sigma-related experience and/or certification.

  • Demonstrated business and financial acumen and analytics, including interpreting and auditing financial information, databases, and payroll data.
