Job Summary

The Finance Specialist works under the supervision of the Finance Director. Her areas of responsibility include: Child Care billing (direct and 3rd party) and accounts, maintaining our qualifications to receive funding from agencies, assisting with the financial aid process, as well as collecting rent from the YWCA Rock County transitional living programs.

Major Responsibilities

  • In coordination with Agency staff, ensure completion & accuracy of family records and bookkeeping through regular deposits, reconciliations, periodic audits, etc.
  • Ensure all applicable fees have been paid in a timely manner. Credit or bill participant families and/or third parties as appropriate. Attempt collection on any outstanding balances
  • Communicate with parents concerning billing questions; Provide documentation of child care expenses as requested by parents or staff.
  • Provide regular reports on status of collection efforts.
  • Use Child Care Portal to verify eligibility for Wisconsin Shares (EBT) payments and notify Site Supervisors of any payments for their site.
  • In collaboration with other staff members, and in accordance with budgeted amounts, set financial aid scale.
  • Organize financial aid application process, collect information from participants, notify participants within two weeks of receipt of application; apply financial aid to participant accounts and notify participant families and staff as appropriate. Track and provide reports to scholarship sources (YWCA and external) on use of funding.
  • Provide bookkeeping training/mentoring for child care site staff as needed.
  • Maintain accurate, organized data systems and software.
  • Maintain relationships with outside agencies and organizations necessary to these responsibilities.
  • Review and provide input upon finance and membership policies as they pertain to child care program.
  • Attend staff, departmental, and other YWCA meetings as assigned.
  • Maintain familiarity with YWCA goals, mission and programs.

    Compensation

    NON-EXEMPT, 1.0 FTE. Hourly plus Full Time Benefits

  • Requirements:

    Qualifications

    • Associate's degree in Accounting, or related degree with at least three years of experience in the field; experience in the child care industry preferred.
    • Experience working with Accounting, HR and Payroll software
    • Knowledge and understanding of, or ability to learn, State of Wisconsin Licensing Standards for Day Care Centers and DPI nutritional standards.
    • Detail-oriented with good communication, problem solving, time management and organizational skills.
    • Ability to develop a team approach with staff, volunteers and community partners.
    • Strong interpersonal and communication skills required.
    • Experience working with culturally and economically diverse populations.
    • Good judgement when making decisions. Able to make collaborative decisions for the good of the YWCA.
    • Ability to maintain strict confidentiality and professionalism, with high standards of integrity and credibility.
