Summary of the Job:

The Financial Assistant to the CFO performs a wide variety of accounting functions to support the C.F.O. and the finance department including processing payroll, journal entries, week, month, and year-end reports, and assisting with audit requirements and year end procedures.

Essential Functions and Responsibilities:

Administrative Support:

Provides administrative support to the CFO and the finance department including:

  • Answer and direct incoming phone calls received by the CFO
  • Manage the CFOs calendar; organize and schedule appointments
  • Write and distribute email, correspondence, memos, letters, faxes and forms
  • Collect and open mail addressed to the finance department and orders supplies as needed
  • Attend and take notes at all finance team meetings

Financial Tasks:

Performs a wide variety of accounting functions including:

  • Processes payroll and ensures that employee salaries, benefits, and deductions are processed accurately and on time.
  • Ensure that payroll practices comply with federal, state, and local laws and regulations.
  • Assist with financial data entry and journal entries in preparation of financial statements and reports
  • Manage reports by checking for errors and verifying accuracy of information
  • Reconciles, processes, reviews, maintains, and submits Invoices, Check Requests, Purchase Orders, Contracts, and Expense Reports as required.
  • Assist the CFO in creating and setting budgets
  • Supports finance team members when needed and acts as a back-up in the absence of finance staff i.e. accounts payable, accounts receivable etc.

Project Coordination:

  • Coordinates projects for the CFO and the finance team and provides updates to the CFO regarding project status and completion.
  • Undertakes special assignments or projects on a wide variety of responsibilities as assigned by the C.F.O

Confidentiality:

  • Maintains high standards of professionalism, efficiency, and discretion while performing a wide variety of sensitive accounting issues, i.e. payroll and other financial duties

Position Requirements:

Minimum Qualifications:

  • A bachelors degree or from an accredited community college, college, or university with a major in accounting, business administration, finance, public administration and five (5) years accounting work experience.

Or

  • An equivalent combination of education, training, and experience which provides the requisite knowledge, skills and ability for this job may be considered.

  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint)
  • Proficiency in Microsoft Outlook
  • Strong mathematical and accounting acuity, analytical and problem-solving skills
  • Must have the ability to maintain a high degree of confidentiality and professionalism
  • Must be detailed-oriented and accurate to assist the CFO office
  • Must demonstrate mature judgment
  • Strong organizational skills and attention to detail skills
