SUMMARY OF POSITION: Performs all Collection and Asset Management functions for the Business Office. Responsible for the accurate compilation of collections and asset management records through 21CCCS accounting systems/database.JOB RESPONSIBILITIES: The position duties may include, but are not limited to, the following:
Create and maintain customer records in the accounting system. Create customer account statements, and distribute statements as required via mail or e-mail. Track outstanding invoices, invoice due dates and the amount of time invoices have been outstanding. Correctly match payments received with invoices in the accounting system and code deposits accordingly. Contact customers via phone, email, or other communication methods to follow up and determine when payments will be made, as needed. Work with Accounts Receivable and the Business Administrator to research, plan and implement a collections process up to and including an agreement of services with a 3rd party collections firm. Assist the Business Administrator in developing an analysis of Warehouse efficiency (UPS shipments and other collections of assets). Work with the Shipping/Receiving Clerk to establish inventory control of Warehouse supplies. Responsible for the purchasing of all Warehouse materials and supplies within the limitations of the Warehouse budget. Responsible for reconciling usage and cost of certain Technology services, including but not limited to Cell Phones, Hotspots, Copiers, and Postage Machines. Order, issue, and suspend Hotspots and Cell Phones, as needed. Work with Accounts Payable to maintain an up to date and accurate inventory of organizational Capital Assets and Fixed Assets. Prepare various reports for administration and assist Business Administrator in preparing reports and other data, including but not limited to State & Federal reporting. Collaborate with the Business Office and external departments to develop and maintain procedural manuals. Assist with general Business Office operations, as well as assist in the Budgeting and Auditing processes as necessary. All other duties as assigned by the Business Administrator and/or CEO. Ability to perform routine office work utilizing office software (email, word-processing, spreadsheet and databases/accounting software) Ability to adapt to changes in the work environment, manage competing demands and be able to deal with frequent change, interruptions or unexpected events. Ability to work both independently and collaboratively, to establish and maintain effective working relationships with staff, administration, agencies, and the community. Ability to transport between central office and various locations throughout the county and state as required by the position. Ability to communicate clearly and concisely. Ability to multitask and meet important deadlines, demands from several people. QUALIFICATIONS
: A. Education and Experience
Associates degree or equivalent; minimum of 2 years Collections experience; prior experience in the Accounting field preferred. Working knowledge of modern business office procedures, systems, software and equipment. B. Professional or Other Required Certifications
