No supervisory responsibilities Responsibilities and Reporting During an Emergency Situation: Essential Employees may be required to work during a declared emergency. Depending on the nature of the emergency, this may require working around the clock for several days on short notice. Non Essential Employees will not be required to work during a declared emergency. Duties/Responsibilities
  • Conduct research to assist the Program and Fiscal Manager during budget preparation in the development of the annual fiscal year budget for the Department.
  • Responsible for budgetary expenditures and budget transfers relating to the fiscal year budget and to ensure sufficient funds are available for current services as well as future needs.
  • Maintain procurement card receipts, balance and prepare monthly payment report for submission.
  • Prepare purchase requisitions and change orders to increase or reduce purchase orders.
  • Prepares and processes invoices for payment.
  • Order and maintain essential supplies including, but not limited to: uniforms, office supplies, business cards, and IT equipment, and small equipment items.
  • Organize and maintain file system, including but not limited to, grants, maintenance and lease agreements.
  • Prepare and track grant budgets, reimbursements, purchase orders, and reports.
  • Process and track all educational tuition reimbursements.
  • Review initial travel requests; review final travel requests with supporting documentation.
  • Track Department assets on an annual basis, per City policy.
  • Maintain accounts associated with the Department.
  • Oversee routine facility maintenance.
  • Operate motor vehicle as needed.
  • This position requires regular and reliable attendance and the employee's physical presence at the workplace
  • Performs other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES
  • Proficient in the use of Microsoft Office including, but is not limited to, Word, Excel, and Outlook.
  • Ability to operate necessary equipment, including motor vehicle, personal computer, calculator, copier, facsimile machine and other standard office equipment.
Minimum Requirements
  • Associate's degree in Finance or Accounting from an accredited college or university, OR Three years of directly related work experience in finance, accounting or budgeting, or related field experience.
  • A valid Florida Driver's License with an acceptable driving record.
  • Mandatory Drug /Alcohol Testing required.
