Compensation: $22-28/hr
This pay range encompasses multiple levels of the role. Career level and compensation depends on applicants credentials.

Overview:
The Fleet Maintenance Coordinator is responsible for coordinating all aspects of equipment and vehicle repairs and overseeing the processing of work orders within an in-house Maintenance Facility. This role is crucial in ensuring the efficient operation and maintenance of vehicles and equipment for a large contracting operation. The coordinator will facilitate communication between various departments and external clients to ensure timely service and maintenance.
Duties/Responsibilities:
- Plan, develop, organize, coordinate, and direct the efficient and safe operation of equipment management personnel and processes.
- Receive vehicle and equipment repair and maintenance requests from field personnel.
- Schedule and coordinate timely repairs and maintenance of fleet vehicles and equipment for customers internal and external divisions.
- Monitor the progress of repairs and maintenance, liaising with mechanics and vendors to ensure efficient workflow and quality control.
- Facilitate and enhance communication between field staff and mechanics to address and resolve maintenance issues.
- Assist IT with the implementation and ongoing upgrades of department-specific software to improve operational efficiency.
- Perform general administrative duties for mechanics and related departments, including managing vehicle documentation, approving invoices, and credit card Receipts.
- Maintaining and monitoring employee status to ensure compliance with all D.O.T. and company fleet software.
- Other duties as assigned or prudent.
- Cross-train in all facets of the Fleet, preparing to fill in for anyone absent and to grow in responsibility and scope over time.
The person in this role will uphold the culture of Utilitra, including relationship building with customers as well as general behavior on Utilitra or client premises or at Utilitra-sponsored events.
Requirements/Qualifications:
- High School diploma or equivalent required; Associate degree in a relevant field preferred.
- Preferred 3 years' experience working in a fleet environment.
- Strong mechanical background, particularly with automotive or construction equipment.
- Proven experience in scheduling, workflow management.
- Excellent multitasking, organizational, and detail-oriented capabilities.
- Clear and effective communication skills, capable of dealing with various stakeholders, including mechanics, third-party vendors, field personnel, and upper management.
- Ability to thrive in a fast-paced, high-pressure environment.
- High level of independence in working with minimal supervision and a strong capacity for teamwork.
- Computer proficiency, especially in Microsoft Excel, Word, and Outlook; experience with proprietary work order management software is highly preferred.
- Must be able to pass a criminal background check and drug screening.
Physical Requirements:
- Ability to move around the shop floor and handle office equipment as needed.
- May involve lifting objects up to 50 lbs occasionally.
Travel Requirements:
- Occasional local travel to other company sites or vendor locations as required for training, supervision, or operational purposes.
