Job Description :
PURPOSE: Under the supervision of the Vehicle Administration (VA) Supervisor, maintains a reliable and cost-efficient fleet of vehicles to support the Company Car program. Responsible for customer experiences, building positive relationships and interacting with the team, customers, vendors and dealerships while managing specific business needs. RESPONSIBILITIES:
  • Builds and/or sources vehicles for clients associates and retirees in assigned region.
  • Schedules trucking, if needed, to BMW or Mini dealerships for scheduled exchanges.
  • Coordinates with dealership staff to ensure vehicle arrival, associate or retiree exchange, returned vehicle location and condition and pricing and sale of returned vehicle.
  • Schedules trucking pick-up at clients dealership for returned vehicles if grounding dealer declines to purchase.
  • Completes all system updates and paperwork required for consignment and auction of returned vehicle.
  • Ensures the timely exchange of associate and eligible driver company vehicles to meet monthly wholesale and/or retail targets for client by direct contact with the associate/retiree or eligible driver to schedule the exchange and complete the physical exchange.
  • Updates the clients VA system as required.
  • Ensures the returned vehicle is in ideal condition for return, delivering the highest level of customer service throughout the interactions.
  • Coordinates the titling and registration of scheduled exchanges with the local Title/Plater.
  • Contacts and provides payment for Company Car program related expenses such as towing expenses, flat tire invoices, etc.
  • Coordinates repairs for all company vehicles within the National Workshop, clients dealership, Certified Collision Repair Center or local body shop from pick-up through timely completion of the repair to ensure the shortest downtime for the customer.
  • Serves as the liaison between the associate and the insurance company on all company car vehicle incident/damage claims.
  • Ensures proper documentation and reporting of driver issues that result in high expense for the business such as consistent poor quality vehicle condition at return, multiple accidents, etc.
  • Optimizes and balances company car inventory while helping the business deliver on key metrics (highest resale value, shortest days to sell) while providing a quality Company Car program to associates/retirees.
  • Ensures full compliance with federal and state legal requirements for damage disclosures for both new and used vehicles.
  • Maintains accurate records of vehicle via electronic and paper files, including plate assignment, pick-up/return vehicle condition, damage disclosures, etc.
  • Manages operational issues for day-to-day activities. Responds to high priority, complete and/or escalated customer requests.
  • Makes recommendations for business process improvements and solutions as they relate to business needs.
  • Performs other duties as assigned by Operations Supervisor.
QUALIFICATIONS:
  • Bachelor's Degree or the equivalent of 4 years of related professional experience.
  • 2+ years of experience providing exceptional customer service.
  • 1+ years of experience in retail, operations or transportation.
REQUIRED SKILLS:
  • Driver's license in good standing
  • 1+ years of experience working in a fast-paced and diverse environment.
  • 1+ years of experience demonstrating outstanding oral and written communication skills.
  • 1+ years of experience with Microsoft Office.
  • 1+ years of experience developing relationships and working collaboratively, at times across
  • distances.
  • 1+ years of experience demonstrating strong analytical and problem solving skills.
  • 1+ years of experience performing research to make fact-based, data-backed decisions.
PHYSICAL REQUIREMENTS:
  • Stands and walks throughout the manufacturing areas
  • Operates computers or other equipment
  • Travels domestically and internationally
  • May sit or stand for long periods of time
  • May walk long distances and climb stairs
  • Performs work in normal office environment and/or manufacturing production environment
  • Wears safety apparel where applicable
  • May be exposed to loud noises.
FLSA STATUS/WORKING SCHEDULE:
  • Location: Spartanburg, SC
  • Schedule: Day shift, 40/h
  • Assignment Start: ASAP
