The highly qualified individual plays a key role at Park Square Homes and is presented as the first impression of the company to our clients and customers. Other responsibilities will include, but not be limited to:

  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate s voice mailbox when the associate is unavailable.
  • Welcomes visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; answering or referring inquiries.
  • Takes and retrieves messages for various personnel.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Receives, time stamps, sorts and forwards incoming mail. Sort and code utility invoices for accounting processing.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Contributes to team effort by accomplishing related results as needed.
  • Send out the weekly HotSheet Report to the vendors for updates on the open work orders. Contact the vendors when we receive no answer, and update the PunchList to reflect updates.
  • Will at times take calls from homeowners and prepare and submit works orders when needed.
  • Update the employee directory with names, phone numbers and email addresses, as needed.
  • Order the Fed-Ex supplies envelopes, labels, pouches, etc.
  • Organize and straighten the mail room
  • Assist and help coordinate the scheduling of the conference rooms

Position Requirements:

  • Proven experience as an administrative or customer service role
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office tools
  • Proficiency in English (would prefer bi-lingual but not a requirement)
  • Exemplary planning and time management skills
  • Up to date with advancements in office gadgets and applications
  • Ability to multi task, adapt to various leader s needs, work independently, think proactively, and prioritize daily workload
  • High level of attention to detail as well as strong verbal and written communication skills
  • High School graduate; additional qualifications such as an advanced degree or certifications would be considered an advantage
  • Must have reliable transportation
