POSITION DESCRIPTION:

The Front Desk Coordinator is responsible for maintaining the physical therapy centers and providing a stellar patient experience that separates The Pinpoint Group from other therapy centers. The FDC will report to the Chief Operations Officer (acting Manager). The facility opens at the designated time, and the FDC must be seated at the front desk, ready to begin the day. The clinic's late days can vary, and the FDC should be prepared to work late, when necessary, to service the last patient.

HOURS OF OPERATION:

Monday, 7:30 am – 4:30 pm (30 min lunch), Tuesday to Thursday, 7:30 am – 6:00 pm (30 min lunch), and Friday, 7:30 am – 12 pm (subject to change)

ESSENTIAL FUNCTIONS:

  • Responsible for opening and closing the facility. This includes but is not limited to all lights on/off, TVs (2) turned on, music turned on, blinds open, maintaining/replenishing supplies, and checking for the overall cleanliness of the facility.
  • Maintaining excellence in standards – daily wiping down equipment, i.e., microwave, coffee machine, refrigerator, counters, etc., refilling the Snack Bar at the start and close of the business day.
  • Keep the waiting room neat and orderly, wiping down all glass and tabletops daily.
  • Provide full coverage of the front desk during business hours. The FDC will either 1) request coverage at the front desk or 2) lock the office and change the sign to return at the appropriate time.
  • Prepare and maintain patients' charts.
  • Coordinate patient referrals, registration, and scheduling.
  • Enforce patient compliance to scheduled appointments.
  • Greet all patients and other visitors with eye contact and a smile, addressing them by name or asking for their name.
  • Answer incoming calls with a friendly tone.
  • Contact new patients within 2 business hours of receipt of prescription(s).
  • Route calls appropriately.
  • Work as a team to maintain an arrival rate of 95% or greater.
  • Enter patient data with accuracy.
  • Monitor and maintain overall patient flow to ensure clinics operate efficiently.
  • Notify the Manager of all actions occurring during the day, i.e., mail received, deliveries, visitors, unusual activity at the clinic, etc.
  • Maintain excellent internal and external communication.
  • Always maintain a professional appearance.
  • Assist with other projects and tasks as assigned by the supervisor.
