Description

The Front Desk Coordinator serves as the face of our organization and is responsible for greeting all visitors and answering the main phone line for WestBridge. The Front Desk Coordinator maintains a welcoming and friendly attitude while managing a variety of administrative support tasks for the Administrative team and across the organization. This role requires a strong emphasis on providing excellent customer service and reliability.

The Front Desk Coordinator is a full-time, in-person position with a schedule of 8am-4:30pm, Monday-Friday.

Responsibilities

* Provides exceptional customer service at the front desk by answering and transferring incoming calls.

* Coordinates with leadership team regarding day-to-day office operations.

* Manages and monitors Office building access for the front door.

* Greets and serves as the first point of contact for participants, family members and other visitors as they arrive at the Front Door.

* Maintains a welcoming and professional presence in the waiting area and on the phone.

* Manages booking of conference rooms and Zoom lines on behalf of WestBridge staff.

* Receives and distributes mail, package shipments, and deliveries. Also arranges for shipping and mailing envelopes and packages.

* Schedule WestBridge participants for internal psychiatric appointments.

* Ensures office workspace and common areas are clean, safe and organized.

* Manages organization maintenance request system and works with Facilities Manager and Financial Controller to insure satisfactory completion of requests

* Complete supportive administrative tasks such as logging invoices for the accounting/finance department.

* Files documents as needed.

* Manages inventory of kitchen and office supplies. Prepares list of needed items for approval and assists with ordering as needed.

* Provides assistance with planning and preparing WestBridge events as needed

* Provides administrative assistance to all WestBridge Teams as needed.

* Works with supervisor to identify process improvement and efficiency opportunities within the organization.

* Participates in special projects on an ongoing basis.

* Attendance at a portion or all of our annual Family Weekend of Hope event is required for all WestBridge staff regardless of position or schedule

* Regular attendance and punctuality is required.

* Performs other duties as assigned.

Requirements

* Associates Degree and/or two years related experience or training.

* Ability to present in a professional, friendly and enthusiastic manner.

* Knowledge of rules and regulations governing confidentiality.

* Experience using business software applications including Microsoft Word, Excel, Outlook, SharePoint, and QuickBooks.

* Strong organizational skills.

* Ability to demonstrate strong attention to detail.

* Ability to approach problems from a solution focused perspective.

* Ability to present information in an organized manner to co-workers and management.

* Successful pre-employment drug screen with negative results is required.
