Overview
The Secretary will provide essential administrative support to ensure the smooth operation of The Salvation Army's programs and services. This role involves managing communications, maintaining records, and assisting with various administrative tasks to support the mission of the organization.
Responsibilities
* Administrative Support:
* Manage daily office operations, including answering phones, responding to inquiries, and directing visitors.
* Prepare and maintain correspondence, reports, and meeting minutes.
* Organize and maintain filing systems, both electronic and paper-based.
* Communication Management:
* Serve as the primary point of contact for internal and external communications.
* Assist in preparing promotional materials and community outreach efforts.
* Coordinate schedules, appointments, and meetings for staff and leadership.
* Data Management:
* Maintain accurate and up-to-date records of programs, participants, and donations.
* Assist with the preparation of budgets and financial reports as needed.
* Support for Events and Programs:
* Assist in planning and organizing community events, fundraising activities, and volunteer coordination.
* Help with the setup and breakdown of events, ensuring that all logistical details are managed.
* Team Collaboration:
* Work closely with staff members and volunteers to promote a collaborative and supportive environment.
* Participate in staff meetings and training sessions as required.
Qualifications
* High school diploma or equivalent; associate's degree or higher preferred.
* Proven experience in an administrative or secretarial role, ideally in a nonprofit setting.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
* Excellent organizational and time-management skills, with the ability to prioritize tasks.
* Strong written and verbal communication skills.
* Commitment to the mission and values of The Salvation Army.
* Be able to work in a standing position for long periods.
* Should expect to work 25 hours per week.
* Attends all scheduled employee meetings and brings suggestions for improvement.
* Performs other related duties as assigned by the Corps Officer on duty.
* Ability to perform general office tasks, including lifting up to 25 pounds and sitting for extended periods of time.
