Description OPEN UNTIL FILLEDJOB SUMMARY: Front Desk Specialist position provides support to staff, individuals and their caregivers by managing all scheduled appointments for Outpatient Services to ensure the most efficient use of direct service time and maximize revenue. The FDS will ensure accurate data is collected and maintained for individuals receiving services. The FDS will also assist in the day to day operation of assigned Youth Services site and serve as the initial contact for visitorsESSENTIAL FUNCTIONS:
Collect completed referral forms or take referral if necessary, maintain log recording disposition, contact referral sources, participate in staffing meetings. Schedule Outpatient and Psychiatric appointments in Front Desk data base system based on protocols, licensure and funding regulations. Place a reminder call to each individual and caregiver the day before each Outpatient appointment. Follow-up on missed or cancelled appointments for re-schedule. Pull charts as necessary for counselor and doctor appointments. Receptionist duties include greeting individuals and caregivers, vendors, guests and other staff directing them to the appropriate location. Also includes directing phone calls and providing information to callers.Collect demographic and financial information from individuals and caregivers. Assess income and determine fee agreement amount for self-pay individuals. Enter data of program enrollments and individual staff service activity log information adhering to time restraints. Work with the Office of Reimbursement staff and Quality Assurance Coordinator to verify insurance coverage and assist in obtaining pre-authorizations as necessary.Manage agency vehicle keys, gas cards and schedules, as applicable.Collect all applicable fees for services from individuals and caregivers. FDS should review schedule of appointments and determine if collections need to be made that day. Maintain financial records for individuals receiving Outpatient Services updating financials when necessary. Assist in day to day operations which will vary by site but may include: - Attend all required meetings and trainings
- Complete Charge Account documentation
- Create blank charts
- Purchase/order supplies
- Schedule facility maintenance
- Develop letters
Take calls from consumers and caregivers regarding questions concerning medications. Follow-up with doctor, nurse case manager and case managers to ensure proper outcome. QUALIFICATIONS:
- Good oral and written communication skills.
- Knowledge of licensure and Insurance requirements for Outpatient Services.
- Good organizational and time management skills.
- Knowledge of office procedures and office equipment.
- Good typing, data collection, and computer skills.
- Ability to interact with people in a positive, supportive manner.
- Ability to work independently and as a team member.
