**Position Description**

**Summary**

Assists the Associate Vice President of Business & Applied Technology and the Department Chair of Logistics & Transportation in operating the training school; recruiting, orientation, and registration of new students; and all basic operations within the office.

Knowledge & Responsibilities:

**Essential Duties and Responsibilities:**

* Serves as the assistant to the department faculty and staff

* Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories and trains departmental personnel

* Provides training and assistance to faculty (full and part time) on college systems, academic procedures and administrative tasks

* Manages a multi-line telephone system including answering, screening and taking messages

* Using appropriate software, develops, transcribes, assembles and disseminates information.

* Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes as appropriate

* Maintains a complex filing system

* Processes confidential information

* Creates and tracks purchase requisitions or purchase orders

* Manages budgets for all transportation programs, with multiple types of funding, state, self-support, etc.

* Handles all purchasing for transportation programs

* Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies, for Transportation, Diesel, and Heavy Equipment programs

* Answers questions and gives information about well-defined, but complex, administrative, programmatic or personnel areas.

* Monitor and reconciles budget and expense statements with departmental accounts.

* Edits, proofs and compiles course documents and departmental reports

* Schedules meetings, appointments, conferences and travel and maintains the schedule of protected room assignments in the department.

* Supervises student, work study, or temporary employees

* Attends conferences, training and serves as liaison for ADD, BRC, and other transportation programs.

* Serves as the primary point of contact for external vendors

* Primarily responsible for orientation, advising, and registration of new students.

* Confirms all prerequisites are met for each student to be enrolled in the TDT program.

* Schedules drug tests for students and obtains results.

* Plans, organizes and coordinates graduation.

* Answers student inquiries about academic department policies and procedures and program/course/curriculum information

* Prepares payroll time sheets on departmental employees and ensures contract submission

* Follow up with faculty to ensure timely and accurate submission of grades and academic reports

* Serves on various institutional committees.

* Orders desk copies of textbooks and ensures timely submission of book adoptions

* Serves as the primary liaison to Fort Bragg for oversight of the TDT partnership with Ft. Bragg and NCDMV

* Is the primary liaison for student services, business office, purchasing, admissions, IT, and all other areas of the college for Transportation programs.

* Posts class schedules, edits, reviews, and maintains accurate information on all of the webpages for transportation programs.

* Performs audits of classes, completes set ups, and close outs of CE classes for transportation programs.

* Maintains relationships with the NC Department of Motor Vehicles and Fort Bragg

* Performs other duties as assigned

To perform this job successfully, an individual should have knowledge of Microsoft Word and Excel and PageMaker.
