If so, we can't wait to meet you!Under the direction of the Arts & Enrichment Manager the Events Coordinator will provide logistical and creative support for significant internal events including commencement, student events, art gallery openings, theater performances, meetings, and conferences. The Events Coordinator will also be responsible for campus food and beverage service operations, in addition to facility reservations and rentals. The Events Coordinator will work closely with other College teams on student recruitment, student retention, employee, donor, and community events. This position will be fully on-campus and in-person, often requiring flexibility to work evenings and weekends, as needed.Primary Duties and Responsibilities Food and Beverage Duties and Responsibilities: Receive, estimate, and coordinate food and beverage requests for College events and meetings across campus. Build and maintain strong relationships with vendors and college teams to provide delivery of high-quality, cost-effective food and beverage services. Duties include monitoring, distributing, displaying, and ordering inventory. Provide food and beverage catering services to support events by securing external catering vendors and providing in-house food and beverage service when practical. Ensure compliance with all regulations, including safety. Maintain necessary licenses. Monitor budget, ensuring timely payments to vendors. Submit transactions to the business office per established processes and regulations. Keep Point of Sale system up to date, compliant and functional to support various food and beverage sales. Maintain equipment and keep a clean, professional, and organized working environment for foodservice areas. Be flexible and have a hospitality mindset and customer service focus when tending to customer needs.Event and Facility Use Rental Duties and Responsibilities: Lead all aspects of event coordination, logistics and staffing. Be resourceful when planning and executing necessary support for a variety of recurring and ad hoc events for the College. Collaborate with other College teams to enhance student enrollment, retention, employee, and community engagement by organizing successful events and other activities per stakeholders' requirements. Develop and secure requests for event support including setup, supplies, equipment, signage, dcor, and linens. Create and communicate detailed event plans, timelines, and contingency strategies. Keeping records and engaging in continuous improvement. With Arts and Enrichment Manager, serve as working lead for support staff, including work study and student workers. Schedule shifts ensuring adequate event support from set-up to tear-down, to provide quality user experiences. Key coordination of logistics for commencement ceremony, working closely with other College teams. Serve as first point of contact for individuals and groups planning events using space on the Nicolet College campus. Oversee the reservation system for campus facilities, ensuring optimal use of spaces and timely communications with internal and external clients. Approve or deny room rental requests for internal and external customers. Create and issue invoices for services and facilities, monitor budget and process timely payments to vendors.Theater Responsibilities: Assist with the day-to-day, baseline technical operations of the theater and event/community spaces. Secure theatre reservations for various events and monitor usage. Set up front of house operations including box office, ticket sales, programs, and ushers. Maintain a clean, organized, and safe working environment for all performance spaces and production areas. Facilitate successful ticketing operations on college's ticketing system. Assist in event entry and sales.Qualifications Knowledge, Skills, and Abilities: Knowledge of typical office operations, software, and programs, including word-processing, email, spreadsheets, and databases. Aptitude for learning new programs. High level of interpersonal communication skills, with the ability to communicate effectively verbally and in writing with diverse audiences - at times under pressure. Creative approach to event planning and appreciation of visual and performing arts and community engagement. Ability to provide outstanding hospitality and customer service with a positive and friendly attitude. Ability to understand and communicate College policies, procedures, and practices. Understanding of and appreciation for the academic, ethnic, socio-economic, disability, and gender diversity of students, employees, and the general public. Strength in organization and implementation. Knowledge of event etiquette and event protocol. Ability to work nights and weekends as needed.Required Qualifications: Associate degree. Two-to-three-year event coordination, meeting planning, culinary arts, hospitality, food service, customer service, retail, clerical, or related experience. Proficiency with Adobe Acrobat and Microsoft Office suite, especially Word, Excel, PowerPoint, and Outlook. Valid Wisconsin driver's license.Preferred Qualifications: Experience with event management software and logistics coordination. Possession of SERV Safe certification. Possession of bartending license. Audio/video experience. Bachelor's degree. Other Compensation: The typical starting pay range for this position is $23.91 - $27.33 per hour, commensurate with qualifications and experience.
