Description The Richmond Behavioral Health Authority is seeking a General Services Associates to join our General Services team! This incubent will be able to perform intermediate technical and administrative tasks to support various aspects of facility operations, including facility maintenance, building security and safety, parking and housekeeping services, and RBHA property management. Responsibilities include maintaining and tracking vehicle and property information using fleet and facility maintenance software, assigning fleet vehicles to employees, and assisting with the oversight housekeeping and security staff. Additionally, the role requires performing related tasks as needed or assigned. Work is conducted under the general supervision of the General Services Manager. Essential Functions Perform receptionist duties at assigned site locations; greets visitor; answers telephone' provides information; forwards call to appropriate party as necessary and required. Maintains Authority vehicles registrations, conduct safety checks, preparing vehicles for auction, purchasing replacement vehicles, facilitating repairs and maintaining fuel cards. Facilitate space and surplus management by handling space allocation and layout planning, coordinating office moves and adjustments to meet the evolving needs of the organization. Facilitate and monitor employee surplus request. Maintains and tracks agile fleet database including mileage, maintenance, vehicle washing, keys, fuel cards, parking assignments, and provides technical assistance to RBHA staff, etc. Monitor, respond, and report concerns with facility operations, building security, maintenance, general services software and safety. Manages parking for employees and fleet. Provide immediate intervention and dispatch appropriate general services vendor in response to unplanned events that disrupt the health, safety, and welfare Authority consumers and employees. Serves as the general services liaison between approved vendors and requesting division for all capital projects involving building renovations, painting and furniture installation, etc. Includes but non limited to vendor selection, meeting facilitation, communication planning/updates, and completing necessary administrative processes to see capital projects to point of completion. Tracks and maintain log of registered mail and other important correspondence. Receives, sorts, processes and distributes incoming and outgoing mail, overnight packages and other materials. Operates a variety of standard office equipment; performs light maintenance on photocopy and postage equipment. Collects and compiles statistical data to prepare monthly reports. Position RequirementsKnowledge, Skills and Abilities General knowledge of proper English and spelling; ability to answer inquiries and assist the general public in a courteous manner; ability to understand and follow oral and written instructions; ability to establish and maintain effective working relationships with associates, law enforcement, medical personnel, clients and the general Has some knowledge of cleaning practices, supplies, and equipment and ability to use them economically and efficiently; general knowledge of fleet maintenance management; general knowledge of standard office procedures, practices and equipment; ability to operate a variety of office and data processing equipment; ability to plan and manage the work assigned; ability to make arithmetical computations quickly and accurately; ability to establish and maintain effective working relationships with supervisors, associates, clients, vendors and the general public. Education and Experience High school diploma or GED and moderate experience in fleet and facility maintenance including some supervisory experience, or equivalent combination of education and experience. Physical Requirements This work requires the regular exertion of up to 50 pounds of force, frequent exertion of up to 25 pounds of force and occasional exertion of up to 20 pounds of force, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects. Work requires stooping, worker is frequently walking and/or sitting, speaking or hearing, using hands to finger, handle or feel and reaching with hands and arms and occasionally requires repetitive motions; work has no special vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office with typewriters and/or computer printers, light traffic). Special Requirements Valid driver's license in the Commonwealth of Virginia. Proficiency in Microsoft Office Suite. Ability to quickly adapt to changing priorities and handle emergency situations effectively. Ability to manage multiple tasks simultaneously and provide logistical support for events and activities.
