We are seeking a highly organized and detail-oriented Global Head of Facilities to oversee company's office managers and administrators. The ideal candidate will have 8-15 years of experience in senior administrative role, HR, and face paced environment with a proven ability to manage multiple tasks efficiently. This role involves providing support to the teams and help out as the company is in growth mode. You will provide comprehensive support to team members ensuring seamless coordination of schedules, meetings, and project assistance. You will play a pivotal role in maintaining organizational efficiency and contributing to a collaborative and dynamic financial services work environment.
Responsibilities:
- Manages USA-based and international offices, workplace programs, and events.
- Responsible for keeping offices running smoothly and overseeing administrative support.
- Provides strong, reliable support for operations by helping implement procedures, communicating them to their respective office locations, and by creating an exceptional employee experience
- Helps to achieve organizational efficiency by nurturing a positive, inclusive work environment.
- Create and implement best practices.
- Provide support for key projects, including research and administrative tasks.
- Ability to manage office management tasks such as pantry inventory, office event planning and catering.
- Provide assistance to the teams and office when needed.
- Manage Team members in multiple locations. New York, Boston, and Minnesota.
Qualifications:
- 8-15 years of administrative experience, preferably in the HR space.
- Experience working in face paced environments.
- Experience in Financial Services, real-estate is a plus
- Strong organizational and multitasking skills with a high level of attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Workday experience is a plus
- Ability to manage multiple tasks in a fast-paced environment and meet deadlines.
- Bachelor's degree required.
- Ability to work under pressure.
- Demonstrated ability to take ownership of tasks and work effectively both independently and as part of a team.
