Job DetailsJob LocationGrand Pacific Vacation Services - Carlsbad, CAPosition TypeFull TimeSalary Range$18.00 - $19.00 HourlyJob ShiftVariedDescriptionPosition Summary/ Objective:Under the direction of the Reservations Manager, the Reservations Processing Specialist will be responsible for delivering prompt, courteous, and efficient service by managing guest room reservations, changes, cancellations, and information requests. This position ensures accurate and consistent data entry across multiple resorts and systems, runs various reports specific to internal entities and partner companies, and verifies data through comparative analysis. Associate will work independently or in a team under little to no supervision. This position relies on good judgment to perform the functions of the job.Primary Essential Functions:
- All associates are obligated to support and uphold the values, expectations, policies, and procedures of Grand Pacific Resorts as outlined in the Employee Handbook.
- Accurately enter, modify, and cancel an average of 200+ reservations daily in the PMS system, ensuring proper inventory group classification, correct coding, and attachment to owner rental contracts when applicable.
- Maintain a thorough understanding of and adherence to departmental policies, service procedures, and standards.
- Ensure proper use and maintenance of all equipment, operating it only as intended.
- Conduct weekly exchange validations, including verifying reservations, banking, ownership details, and contracts, making necessary modifications or performing research as required.
- Process an average of 50+ contracts weekly, notifying owners of acceptance or denial, and ensure accurate management of owner rental allocations within the PMS system.
- Coordinate and set up group or individual billing requests as needed.
- Work independently while also collaborating with cross-functional teams to meet expectations and deliver results.
- Communicate effectively and promptly with internal teams, including GPVS and resort properties.
- Support Resortime/GPVS campaigns, duties, or projects as required.
- Support GPX/HGVC campaigns, deposit, exchanges and communication.
- Perform other duties as assigned.
- Responsible for conducting all responsibilities in a professional and ethical manner.
- Responsible for maintaining a consistent, regular attendance record.
- Adhere to performance standards, company policies and procedures, as they relate to the department.
QualificationsEducation, Skills & Experience:The ideal candidate must be a detail oriented, thorough, and professional individual who consistently provides exemplary customer service to guests, owners, management and associates.
- Proficiency with remote collaboration tools such as Zoom, Outlook and Slack.
- Must have proficiency with Microsoft and Excel
- Proven ability to manage time effectively, prioritize tasks, and meet deadlines without direct supervision.
- Strong organizational skills to maintain records, projects, and communications in a virtual workspace.
- Demonstrated ability to work independently and remain productive in a home office or remote setting.
- Experience in the hospitality industry (time share preferred).
- Ability to work well in a diverse team environment.
Additional Eligibility Qualifications Required:
- Must be available to work various shifts including weekends and holidays.
- Must be able to successfully pass applicable auditions or skill testing, background check, physical examination and drug screening test.
- Ability to speak and understand the English language.
Physical, Environmental & Other Requirements:
- Must be able to stand and/or walk for up to 8 hours.
- Must also be able to sit, stoop, kneel, crouch and crawl.
- Must frequently lift and/or move up to 10 pounds and occasionally required to lift and/or move up to 25 pounds.
- Clear vision (close, distant and depth perception) is needed for navigating office and all other buildings within the resort.
