What We Look For...The Group Sales Manager will prepare and execute sales contracts for small guest room blocks with or without meeting space requirements, prepares event orders, group resumes to ensure quality product delivery and customer satisfactions. The Group Sales Manager will serve and assist in coordinating all function details with clients to include but not limited to rooming lists, space requirements, meeting times, equipment, menus, etc. The Group Sales Manager will prepare and execute sales contracts for small social guest room blocks.The Key Responsibilities
- The Group Sales Manager is responsible for booking meetings and groups into the hotel based on the determined peak room night and attendee levels as determined by the Regional Director of Sales & Marketing
- Receive and respond to all customer inquiries within their predetermined responsibilities.
- Negotiate and capture all profitable Rooms & Catering business.
- Provide marketing collateral to clients and guests, which may include photos, menus, meeting room layout & seating capacity diagrams, and similar.
- Prepare and send requested proposals and contracts to designated & potential clients.
- Coordinate all details pertaining to room lists, including room types, shared rooms, room locations, handicap-accessible rooms, room billing, etc.
- Educate Event Planners on hotel procedures, such as meal guarantees, set-up styles, payment terms, available hotel services, etc.
- On a regular basis, distribute final Rooming Lists and Banquet Event Orders to all applicable service staff, including the Banquet Team, the Culinary Team and the Rooms Division
- Conduct site inspections
- Entertain potential clients in accordance with Radiate Hotels policies.
- In a timely, accurate and consistent manner, document and report all sales activities as required.
- Maintain an active list of top accounts to ensure continuous relationship building activities.
- Top accounts should be contacted, visited and entertained frequently
- Active solicitation of small meetings and catering events for the property
- Perform other services and duties as requested.
- May be called on to host functions and participate in, or conduct sales blitzes, travel and work extended hours to achieve departmental goals.
- Ensures all set up, break down, and service of conference meeting rooms is properly executed by the banquet team.
- Participate in weekly group pick-up meetings.
- Manage customer relationships in a proactive manner relative to payment structure, room block management, food and beverage, public room rental and exhibit hall fees, incremental and affiliate revenue streams, performance damages and master billing process for assigned groups or as requested by fellow sales team members.
- Work with Regional Director of Sales & Marketing and Revenue Team to maximize all rates, dates and space commitments ensuring highest yield for total hotel. Be accountable for all blocks and space commitments, maintaining communications with clients and revising as appropriate.
- Meet hotel administrative standards in GRC, Diary Standards, file and trace systems, space release and diary matrix. Ensure adherence to all contract terms and conditions including but not limited to attrition, cancellation, and deposit policies.
- Prepare reports such as but not limited to: Banquet Event Orders (BEOs), DELPHI reports and input as instructed, correspondence, and analysis relative to group activity (i.e. activity checklist, call reports, forecast evaluations, menu proposals, written customer correspondence, resume, report of convention, and internal memos or communications).
- Participate in internal and external meetings as determined by the Regional Director of Sales & Marketing (i.e. forecast, menu review, department, pre-cons, operational department pre-shift, etc.).
- Assist with catering/sales inquiries as a team member covering when OOO.
- Assists with departmental administrative duties as requested by Regional Director of Sales & Marketing
- Assists all operational departments with administrative requirements as needed to ensure smooth operational excellence in the hotel.
- Participate in internal and external training as required.
- Keep Supervisor promptly and fully informed of all problems or unusual matters of significance.

- Performs other duties as directed, developed, or assigned.
The Model Qualifications:
- Special consideration will be given to those who have EMM, Catering or Conference Servicing experience at a local hotel.
- High School diploma or equivalent.
- A minimum of two years' work experience in the hospitality sales field is preferred.

- Attention to detail
- Computer Skills, Word, Excel, Delphi sales and catering software platform and OPERA PMS preferred
- Strong planning and organizational skills.
