Job Description :
The Museum of Modern Art is currently accepting applications for a Groups and Tours Assistant who is an essential member of the External Affairs team, the Senior Groups and Tours Assistant plays a key role in building relationships with staff, visitors, members, and donors at every level. By planning and welcoming tours and group experiences, the Senior Groups and Tours Assistant secures a key revenue stream for the institution. From initial contact through the visit's conclusion and beyond, the Senior Groups and Tours Assistant fosters a positive relationship with the Museum.Responsibilities:
  • Ensures smooth daily operations supporting every aspect of Groups and Tours.
  • Works proactively with various Museum departments to plan and implement programs.
  • Warmly welcomes groups at various locations, greets and serves as liaison with group leaders, and ensures all details regarding visits are handled efficiently.
  • Assists in scheduling guides, and occasionally assists with screening and interviewing guides and scheduling their payments.
  • Issues requests for Security Officers and operational needs for all groups when applicable, and follows up with various departments regarding special arrangements.
  • Acts as host for Virtual Tours and Talks. Communicates with clients and staff throughout technical rehearsal and live program.
  • Assists in training junior Groups and Tours staff members in departmental tasks, including all aspects of the group visit from initial contact through the Museum visit, departure, and follow up.
  • Answers Groups and Tours telephone lines and e-mail inbox for reservations, general information, and confirmations. Follows up accordingly.
  • Inputs information and reservations utilizing Groups and Tours computer software. Runs reports as needed. Uses Salesforce for client relationship management.
  • Efficiently follows through with group leaders regarding payment information, refunds, late payments, and other related issues.
  • Performs any other duties reasonably related to the functions described above.
Requirements:
  • Bachelor's degree and at least two years of client service experience.
  • Strong interest in modern and contemporary art.
  • Capacity to work with visitors of all abilities.
  • Exceptional verbal and written communication skills, professional polish, and attention to detail.
  • Ability to work independently, manage multiple tasks, and balance priorities.
  • Self-starter with a positive attitude, sense of humor, and excellent collaboration skills.
  • Demonstrated enthusiastic and empathetic disposition
  • Facility with a language(s), in addition to English, is preferred.
  • Ability/willingness to work evenings. Must be available to work at least one weekend day.
  • This position is in scope of the Payment Card Industry Data Security Standard (PCI) DSS), therefore, any offer of employment for this position will be contingent on the satisfactory completion of a criminal background check. The background check will be performed by an outside vendor in compliance with all applicable federal, state, and city statutes.
