Job Description :

A financial institution located in Manhattan is looking for a Guest Services Associate to provide front desk coverage. The ideal candidate is a detail-oriented team player who will serve as the first point of contact for visitors, ensuring a professional and courteous greeting. In addition to welcoming guests, responsibilities will include tasks such as managing inbound and outbound mail, handling administrative duties, and providing general clerical support as needed.

Responsibilities

  • Manages incoming calls, directing them to the appropriate staff or voicemail.
  • Greets and announces clients, applicants, and visitors in a professional manner.
  • Follows security protocols for logging guests, suppliers, and other visitors.
  • Coordinates escorts as needed, and issues visitor passes; validates parking.
  • Assists with scheduling and preparing meeting and conference rooms, including setup.
  • Handles general clerical tasks, such as distributing faxes, packages, and mail.
  • Utilizes tracking systems to log inbound and outbound courier shipments, freight, and mail.
  • Arranges messenger services as necessary.
  • Adheres to security procedures for screening incoming deliveries.
  • Orders office supplies and common-use items like café provisions, toner, printer paper, and shipping materials.
  • Ensures the reception area, conference rooms, café, and other common areas are maintained in a tidy and organized manner.
  • Keeps records and logs of service requests and monitors their progress.
  • Maintains a file of service contacts, including transportation options, accommodations, and referrals.

Qualifications

  • HS Diploma or GED required. Prior Front Desk, Concierge, customer service or other hospitality experience preferred.
  • Intermediate skills with Microsoft Office Suite.
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor with a strong, professional customer service orientation.
