Job Title: Health Information Services (HIS) Specialist – (Bilingual)

Location: San Ysidro, CA 92173

Schedule: Monday – Friday 8:00 AM – 5:00 PM

Duration: Temporary

Pay: $25.00 per hour - $26.20 per hour (Depending on experience)

Positions Summary:

Manpower is assisting a client who is seeking a candidate who is bilingual in English and Spanish.

The Health Information Services (HIS) Specialist is responsible for maintaining the integrity of the department by adhering to established policies, procedures, and objectives.

This role involves a wide range of duties, including sorting, scanning, and uploading documents, ensuring referrals are completed, updating care guideline dates in the Electronic Health Record (EHR), handling release of medical information requests, and providing exceptional customer service.

The position may require work during weekdays, evenings, weekends, and travel to various clinic sites based on departmental needs.

Responsibilities

  • Sort and organize lab reports, correspondence, referrals, consultations, and hospital records in accordance with departmental guidelines.
  • Perform patient record look-ups to assign medical record numbers for documents without one.
  • Scan, file, and upload incoming medical reports, ensuring unsigned provider documents are sent to the Provider's PAQ for signatures.
  • Process patient and legal representative consent forms for the release of medical records to external facilities to support continuity of care.
  • Complete referral order management tasks in the EHR, including closing orders and updating preventive care guidelines.
  • Follow up with specialists to obtain completed consultation reports promptly.
  • Prepare and process required forms, authorizations, and subpoenas while adhering to relevant federal and state regulations.
  • Manage requests for patient health information from various parties, including patients, providers, attorneys, and insurance companies.
  • Maintain documentation of Patient Health Information (PHI) logs to ensure compliance with regulations.
  • Assist patients with form processing and manage electronic logs in shared folders.
  • Maintain accurate logs for specific procedures, such as EKGs.
  • Distribute lab reports, correspondence, and referrals to satellite clinics as needed.
  • Collaborate with clinical care providers and team members to ensure a positive customer service experience.

Qualifications

Experience:

  • Preferred: 1–2 years of experience in health information services or medical records.
  • Alternatively, successful completion of a one-year internship in a similar role.

Education:

  • High School Diploma or GED equivalent.

Certifications (Preferred):

  • Medical Terminology Certificate.

Skills and Competencies:

  • Bilingual proficiency in English and Spanish is required.
  • Strong oral and written communication skills.
  • Exceptional customer service and active listening abilities.
  • Ability to collaborate effectively within a team environment.

Technical Knowledge:

  • Familiarity with medical terminology and basic computer skills is required.
  • Knowledge of medical records office procedures is preferred.
  • Must type at least 35 words per minute.

Equipment Utilized:

  • Computers, scanners, telephones, software systems, fax machines, and copiers.

Physical Requirements:

  • Prolonged standing, sitting, and walking, with occasional lifting.
  • Manual dexterity and mobility for frequent reaching, stooping, kneeling, and bending.
  • Ability to focus and work effectively in a noisy environment.
  • Capability to manage multiple tasks simultaneously.

Working Conditions:

  • Availability to work evenings and weekends as needed.
  • Flexibility to travel to designated clinic locations for team support, workflow improvement, or project needs.
