Job Description: Champlain College is seeking an organized, personable individual to join the Student Health Center team as their Health & Medical Office Coordinator. This position helps the clinic run smoothly by checking in patients, stocking the rooms, managing the schedule, facilitating phone and email communication, processing referrals, and transmitting health records. The individual will also provide administrative support in several areas including web page maintenance, budget support for the health and wellness department, immunization compliance oversight for students, preparing materials for use in health programming, and may have the opportunity to assist with implementation of campus outreach programming. Significant Duties and Responsibilities: Manage daily flow of Health Center operations:
  • Greet students when they arrive at the Center, schedule appointments and manage the walk-in student flow.
  • Answer phone calls, respond to emails, address incoming and outgoing faxes, and review communications sent through the Patient Portal.
  • Check in students when they arrive, collate data collection regarding usage of the Center, assist in writing reports and sharing the data.
  • Build the daily appointment schedule in the Electronic Health Record system.
  • Support the maintenance of Health Center webpages, working closely with the Clinical Operations & Health Promotions Coordinator, and Champlain College IT Department to maintain a useful and dynamic web based communication tool.
  • Manage delegated purchasing card accounts, complete necessary payments, and reconcile invoices in a timely manner.
Assist in compliance and records management:
  • Oversee the collection of Student Health requirements, such as immunization records, health history, contact information, and consent forms for incoming students, review those forms for completeness, and contact students as needed to request additional information.
  • Maintain large-scale outreach to students who are not compliant with Student Health requirements, and support students as they seek to become compliant.
  • Initiate and lift registration holds related to immunization non-compliance.
  • Send records as requested and appropriate for students who have been referred out for a higher level of care or are requesting a copy of prior records while adhering to HIPAA regulations.
  • Represent the Health Center at Registration events to support student compliance efforts.
Work with Student Health & Wellness staff on health promotion projects:
  • Assist the Student Health & Wellness staff in preparing materials for health promotion programming to be implemented on campus.
  • Participate in campus outreach programs as needed by Student Health & Wellness staff.
Requirements: Skills:
  • Interpersonal skills, including excellent written and verbal communication.
  • Strong administrative and clerical skills.
  • Highly organized, with close attention to detail and the ability to plan ahead.
Experience:
  • 1-2 years of work experience in an administrative role.
  • Demonstrate a commitment to diversity, social justice education and training.
  • Exposure to and/or interest in health care and health promotion work.
  • Experience in an office setting.
  • Understanding of the importance of patient confidentiality and basic knowledge of HIPAA guidelines.
  • Experience with web page management and interest in further developing skills.
  • Working knowledge of Microsoft Office and Google Suite.
Education:
  • High School Diploma or GED required, Bachelor's Degree preferred
