Job Summary:
Responsible for the management of the personnel and systems that comprise the HIM operations for Erlanger Health System. The primary responsibilities of this position is to manage and maintain all healthcare information, ensuring compliance with all state and federal laws, and rules and regulations of DHHS and other governing licensing agencies. Working together with all users of the medical record, the incumbent will be instrumental in assuring the continued development of a strategy that supports advancement of the electronic medical record (EMR) that supports the necessary care delivery, clinical review, and patient billing processes.

Associate's degree in Health Information Management or equivalent management/work experience.

Requires five years as a Manager or Supervisor in Health Information Management. This individual must be able to have broad scope of department, understanding complete workflow and its relationship for chart completion and reimbursement. Must be able to serve as primary back up to the HIM Director

Department Position Summary:
Under supervision of the Enterprise Director HIM Services, the HIM Manager oversees all ongoing activities related to the development, implementation & maintenance of and adherence to EHS enterprise-wide policies and procedures covering access to confidential patient health information.
This position has the authority to supervise, hire, evaluate, discipline, and terminate Health Information Management employees; establish and enforce policies and procedures; recommend Erlanger Health System policies and procedures that ensure health information is complete, secure and confidentiality is maintained; maintain the indexes and registers required by accrediting and regulatory agencies, and is responsible for 'forms review'.
Is responsible for HIPAA compliance and confidentiality of patient information, and accurate and timely release of patient information within state and federal guidelines; recommends to medical staff improvement in quality of clinical documentation and medical record processing; measures and maintains acceptable medical record delinquency rate; provides education and training to the healthcare system's employees in areas relevant to health information management; responsible for department budget; prepares statistical reports and research on topics related to health information management.
Coordinates efforts and work with appropriate resources to ensure completeness and quality is met with transcription services and coordinate efforts with Coding.
The HIM Manager is expected to participate on committees and task forces that have health information management and/or clinical information management objectives.
Manages daily activities of the electronic health record area of the HIM department. Assures that the analyst staff are expertly trained in electronic record processing and record completion procedures. Assures the timeliness and accuracy of all EHR functions performed. Each discharge must be analyzed for physician completion in accordance with the Joint Commission standards, federal and state regulations, and Medical Staff By-Laws.
Manages the provider delinquent charts and coordinates the provider suspension system to ensure accurate and fair suspension of the medical staff. Responsible for overseeing the provider liaison responsibilities and works in conjunction with medical staff to reduce the delinquent medical records.
Manages the operational functions and procedures for patient medical record document correction. Design and implement documentation correction procedures for documents in wrong patient account. Track and provide feedback regarding document corrections.
Works with providers and clinicians regarding amendment requests in the medical record and assures that Erlanger Health is in compliance with HIPAA regulations.
The HIM Manager is responsible for coordinating and manage the records retention and destruction policy for all Erlanger Health System locations and ensures compliance with the policy and regulations.
Provides leadership and coordination for the process of running a document imaging operation. Provides management and to ensure that all paper documentation is accurately identified, filed, and scanned into the patients medical record. Acts as a subject matter expert to physician offices and de-centralized scanning functions for the health system.
Overall responsibility to monitor and work on reducing delinquent medical records and shared patient records. Responsible to ensure the MPI accuracy of processes and meeting quality standards.
This position is responsible for overseeing forms content and completion. Maintains the integrity of the document master spreadsheet and document type table. Responsible for customer service to all incoming calls and ensuring all calls are responded to in a timely manner obtaining customer satisfaction or issue resolution.
