Position Title: Coordination Manager/Supervisor (Bilingual: Spanish is a BIG plus) Job Description: The Manager of Coordination at Andrea's Angels is pivotal in overseeing the day-to-day operations of the coordination team. This role involves coaching and training the team, ensuring adherence to policies and procedures, maintaining interdepartmental collaborations, and promoting effective communication to achieve the highest level of patient care. Responsibilities: Training and Orientation:
- Ensure effective orientation and training of new hires in collaboration with the Training Manager.
- Provide regular feedback to the VP of Quality on new hire progress.
Supervision and Monitoring:
- Oversee the operations of Scheduling Coordinators, including approving leave and conducting performance evaluations.
- Supervise daily operations, ensuring attendance and patient safety.
- Manage pre-billing activities and liaise with payroll for any related issues.
- Oversee CRM compliance, aiming for a minimum of 95% compliance with tasks.
- Monitor Salesforce daily for appropriate follow-ups.
- Ensure regular attendance and patient safety through diligent monitoring of daily dashboards.
- Address patient complaints and oversee patient satisfaction measures.
Team Management:
- Lead and collaborate with Coordinators to guarantee proper scheduling, coverage, and oversight.
- Manage the Salesforce (CRM) to ensure the admissions department's success.
Operational Efficiency:
- Lead daily AM/PM team meetings to discuss patient schedules and care quality.
- Audit patient caseloads for any irregularities and report to the VP of Quality.
- Counsel HHAs for incidents beyond the TL/Coordinator scope.
- Complete daily, weekly, monthly coordination department reports.
Workflow and Training Development:
- Help develop and implement new workflows and training for Coordinators.
- Ensure continuity of care by following up on discharges.
Additional Duties: Undertake any other tasks as assigned. Qualifications:
- Bachelor's degree in Healthcare Administration, Nursing, Social Work, or a related field.
- Proven experience in healthcare coordination or management, preferably in a home healthcare setting.
- Demonstrated experience in team leadership and staff training.
- Strong leadership and organizational skills.
- Excellent communication and interpersonal abilities.
- Proficiency in healthcare management systems and tools (e.g., Salesforce, IVR systems).
- Ability to multitask and manage various operational aspects.
- Knowledge of healthcare regulations and standards.
- Demonstrated ability to work collaboratively across departments.
- Commitment to quality patient care and operational efficiency.
- Flexibility to adapt to changing workflows and procedures.
- Proficient in Salesforce, HHA Exchange, and other systems.
