The Human Resources department is seeking a Supplemental HR Administrative Assistant to join our team! This is a unique opportunity for someone interested in beginning a career in Human Resources as no HR experience is required, and may be great for part-time college students, or even a semi-retired professional looking for a little extra work. This role reports into the payroll division and will support the implementation of the Human Capital Management System and will have a heavy hand in the processing of personnel activities through rigorous data entry and reporting. Assignment Duration: Tentative Start Date: October 10, 2024 Tentative End Date: December 31, 2025. Hours/Schedule: 20 hours/week. This is an hourly, part time, non-benefited position. Hours will be an average of 20 hours per week. You may occasionally be asked to work additional hours with advanced notice. Schedule will be within Monday through Friday between the hours of 8:00am and 5:00pm. ROLE & RESPONSIBILITIESAbout You:
  • Interested in working part time, in-person, 8am - 5pm, for 14-month limited duration
  • Find satisfaction in high-volume of 100% accurate data entry that requires critical thinking and ability to work under pressure to meet deadlines
  • Bring a high level of and enjoy organization, accuracy, and repetition of the same types of data-entry/record keeping tasks

  • Must have a pleasant, outgoing personality and ability to pivot to meet competing priorities
  • Strong mathematical skills as related to calculating retroactive payments
About the Job: If selected to join us, this position will give you a chance to learn and perform the following HR functions:
  • Enter, maintain, audit, and process sensitive data from electronic forms and files into our HR information system for each semi-monthly payroll cycle and bring undocumented scenarios to the HR Department Coordinator for resolution
  • Learn to comply with standard operating procedures and team up with HR Business Partners to address incomplete forms
  • Partner with Payroll and HR Analysts to ensure successful payroll processing
  • Maintain the confidentiality of all personnel records, payroll records, employee-related correspondence and conversations.
  • Utilize and maintain departmental management systems, tasks include data entry, managing customer service requests, generating reports and tracking resources.
  • Develop, update, maintain and retrieve data from spreadsheets, database programs and/or other sources.
  • Maintain electronic and paper-based information, directories and filing systems including monitoring departmental updates, changes, deadlines, and pertinent expiration dates.
  • Administer and maintain absolute confidentiality of work-related issues, client records and City information
  • Process and maintain personnel information including new hires, terminations and rate changes.
QUALIFICATIONS Any combination equivalent to high school diploma and two (2) years of progressively responsible administrative experience. Candidates with at least (5) years of administration assistance experience plus (2) years of college course work may qualify for a higher classification and a salary increase of up to $2/hour over published range.
