Job Description

iSpring Water Systems is seeking a detail-oriented HR Legal Administrative Assistant to support our team and assist with HR operations. This role includes a variety of responsibilities focusing on general office administration and executive support. The ideal candidate will be highly organized, capable of multitasking effectively, and possess strong communication skills to ensure smooth and efficient operations.

Key Responsibilities

  • Process and manage correspondence, maintain systematic filing systems, and ensure the accessibility and security of records.
  • Oversee office and warehouse supply inventory, procuring necessary items to maintain optimal operational levels.
  • Coordinate and manage team calendars, including scheduling meetings, appointments, and corporate events.
  • Prepare and process insurance claims documentation, monitor claim statuses, and assist employees with submissions and inquiries.
  • Act as the primary point of contact with insurance providers, facilitating clear communication and ensuring the timely exchange of information.
  • Focus on trademark/patent tasks with COO
  • Organize and coordinate meetings, develop agendas, and schedule interviews to support organizational alignment.
  • Provide regular progress updates and proactively address potential delays or challenges to ensure timely task completion.
  • Collaborate with cross-functional teams to address issues, develop solutions, and achieve company objectives.
  • Procure office supplies and refreshments to maintain a well-stocked and functional workplace environment.

Required Qualifications

  • Bachelor's degree or higher.
  • 1+ years of office administration experience.
  • Proficiency in project management tools.
  • Strong Excel skills.
  • Excellent organizational abilities.
  • Bilingual in Chinese and English.

Technical Skills

  • Proficiency in Microsoft Office Suite or Google Sheets.
  • Familiarity with project management software.
  • Experience with document management systems.
