Job Description :
CORE RESPONSIBILITIES:
  • Supports the Human Resources department with a variety of administrative tasks.
  • Provides a high level of customer service, professionalism, and confidentiality.
  • Assists with preparation for new employee orientation and processing new hire paperwork.
  • Assists with the administration of the employee engagement platform.
  • Assists the HR Business Partners with running reports, creating letters, processing referral bonuses, preparations for career fairs, tracks and saves performance reviews and unemployment claims.
  • Assists with recruitment function including posting new positions, processing new hires, sending welcome emails, background checks and references, as needed.
  • Manages the tuition reimbursement program and employee discount program.
  • Tracks employee licenses and certifications requirements (RN, LPN, PA, etc.)
  • Assists the Benefits and Operations Administrator with processing changes in UltiPro HRIS, creates benefit termination letters, processes 401k contribution changes, report preparation, benefit enrollments, open enrollment processing, and leave requests.
  • Supports wellness initiatives and programs.
  • Coordinates annual compliance activities, such as ACA reporting, department of labor reporting, OSHA 300 log, labor law posters, etc.
  • Completes employment verifications.
  • Arranges conference room space and coordinates food ordering.
  • Processes invoices for Human Resource services.
  • Issues parking decals and ID badges to new and current employees. Orders supplies as needed.
  • Prepares documents, spreadsheets, presentations, correspondence, and reports.
  • Makes copies of employee files upon request, makes photocopies, faxes documents, and performs other clerical functions.
  • Assists with coordination of annual events and programs
  • Coordinates bereavement leaves and orders flowers for staff as necessary.
  • Maintains strict confidentiality in alignment with HIPAA (Health Insurance Portability and Accountability) guidelines and InterMed policies.
  • Perform other duties to support the mission, vision and values of InterMed.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Education:
    • An associate degree in a business-related field preferred.
  • Experience:
    • Two years Administrative Assistant and/or Human Resources Assistant experience preferred.
  • Ability to earn trust and respect by providing prompt, accurate and helpful answers and innovative suggestions.
  • Intermediate to advanced Word, Excel, PowerPoint and Outlook skills.
  • Ability to adapt to changes in the work environment, manage competing demands and able to deal with frequent change, delays, or unexpected events.
  • Good listener with strong verbal and written communication skills.
  • Able to handle sensitive and confidential employee information.
  • Excellent organizational skills and attention to detail.
  • Ability to categorize and analyze information, to work independently and to prioritize multiple tasks and projects.
