Job Description

We are looking for a proactive and detail-oriented HR Associate/Office Manager to provide critical support in office operations, employee engagement, and HR administration. This role will ensure the office runs seamlessly, employees are supported, and HR initiatives are executed efficiently. Reporting to the Director of People and Talent, this position will play a key role in creating a positive workplace experience, aligning with our company culture, for all employees.

Summary of Primary Responsibilities:

The HR Associate/Office Manager is an in-office position, Monday-Friday 8:30am-5:30pm (or 8:00am-5:00pm). While not an exhaustive list, the HR Associate/Office Manager will be responsible for:

Office Management and Administrative Support:

  • Maintain office supplies, including ensuring copy and supply area is organized maintained, including ordering and inventory management.
  • Oversee kitchen upkeep, ensuring cleanliness, restocking snacks and drinks, and managing weekly office lunches.
  • Serve as primary point of contact for building management and parking services, and employee maintenance issues.
  • Provide backup support for phone/reception during lunches, breaks and absences.
  • In tandem with the Receptionist, manage incoming and outgoing mail, Fedex and UPS shipments, and Amazon returns.
  • Process accounts payable (AP) as needed.

Human Resources Support:

  • Provide administrative and operational support to the Director of People and Talent.
  • Assist with payroll processing and reconciliation.
  • Coordinate monthly birthday and anniversary gifts and celebrations.
  • Assist with Employee of the Month program.
  • Assist with onboarding and offboarding employees, ensuring a seamless process.
  • Support recruitment efforts by posting jobs, scheduling interviews, and maintaining candidate communication.
  • Participate in special HR and office-related projects as assigned.

Requirements

  • Bachelor's degree in business administration, human resources or a related field is preferred.
  • 2+ years of experience in office management, administrative support, or HR related roles.
  • Exceptional organizational and time management skills, with the ability to multi-task in a fast-paced environment.
  • Strong written, verbal and interpersonal communication skills, with a focus on providing “white glove service.”
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint). Familiarity with HRIS and payroll systems in strongly desired.
  • Professional demeanor and ability to handle confidential information with discretion.
  • High level of professionalism, discretion and confidentiality, particularly when handling sensitive information.

Compensation

This position is full-time, non-exempt full time, with an annual Salary Range: $65,000-75,000 with a discretionary bonus potential.
