The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Director of Finance & Administration and working closely with the COMS Payroll Unit, This 6 month ( temporary ) full time role will responsible for the administration, reporting and tracking of student hires and student academic appointments. The role will provide support in processing all student officers and bi-weekly course assistants within the Department of Computer Science in the Fu Foundation School of Engineering and Applied Science (SEAS). This entails packaging hires as required and collecting all necessary forms, documents, and clearances for hires in the research and instructional missions. The role will audit incoming documents to ensure such items follow university policy and practices. The position is responsible for generating, reconciling and downloading relevant payroll reports to ensure assignments and payments to student hires are accurate.

Responsibilities

(60%) Packaging/Onboarding Student Hires & Appointments: Creates DocuSign, provides guidance, and other materials and coordinates directly with students to collect all necessary clearances, forms, and documents for initial and successive appointments.

  • Processes all new and rehires via PAC. Processes paper timesheets for late hires and additional pay.
  • Submits paperwork to change student pay, statuses or Multiple job hires.
  • Generates PAFs and Nomination materials for external departments.
  • Collaborates closely with the SEAS Human Resources team to obtain Dean's Office and Provost approval of student officer appointments/hires.

(20%) Reporting & Reconciliation: Downloads reports from MICE (central database system), ARC and PAC to update/reconcile the central departmental Google Sheet Hiring tracker, reconciles the hiring tracker and ensures that the data is up to date for general departmental use.

  • Performs departmental payroll reconciliation and validation of payroll throughout the semester using ARC reports to ensure accuracy in pay and hiring titles.

(15%) Track Departmental Ticketing System: Helps payroll unit team, track and address individual ticketing system inquiries.

(5%) Other Duties as assigned.

Minimum Qualifications

  • Bachelor's degree or its equivalent, or commensurate combination of education and related experience, with a preference for training in higher education management. Minimum one to two years of related experience required in a Payroll analyst role and /or payroll onboarding-related experience.

  • Ability to work independently and ability to multitask, and manage multiple projects.

  • Experience in working with a wide range of constituencies.

  • Exceptional problem-solving, interpersonal, organizational, and written- and verbal communication and computer skills required.

  • Must be detail-oriented and have strong proficiency with MS Office, including Word and Excel.

  • Well-developed skills with various computer software programs (i.e., Microsoft Word, Excel, PowerPoint, Outlook, Teams, Internet, etc.) and excellent keyboarding skills Good technical and analytical skills with the ability to interpret information and to analyze data for statistical tracking and reporting.

  • Good organizational skills, analytical skills, accuracy, and the ability to attend to details, work independently and make sound judgments.

  • Has the ability to take initiative and follow through on work assignments/projects/reports.

  • Reliable and flexibility to handle unanticipated schedule changes and competing priorities. Disciplined and able to maintain confidentiality.
