Job SummaryThe HR Student Employment Specialist at BYU-Hawaii is responsible for overseeing the Student Employment program, managing critical HR functions related to recruitment, onboarding, payroll, compliance, and data integrity. This role requires a higher level of autonomy, strategic planning, and decision-making authority to effectively oversee all aspects of student employment. This includes driving the alignment of student employment policies with institutional goals, collaborating with key campus departments, and ensuring continuous process improvements.
Primary Responsibilities Student Hiring and Onboarding- Independently manage and refine the student hiring process to improve efficiency and meet institutional goals, including recruitment, selection, and onboarding for student employees across all departments.
- Analyze hiring trends and departmental needs, proactively developing strategies to align student employment with the university's academic and operational objectives.
- Ensure compliance with federal and institutional regulations, with the ability to make independent decisions to adapt processes as needed.
Data Management and Integrity- Take responsibility for the overall integrity of student employment records in Workday, leading regular audits and implementing corrective actions when necessary.
- Develop and implement systems to track, report, and analyze student employment data, informing decisions and enhancing the program's efficiency and compliance.
- Review and approve updates to student employee records, ensuring compliance with university policies and federal guidelines, particularly for breaks in service and terminations.
Payroll Coordination- Work independently to ensure payroll accuracy by collaborating with Financial Services and resolving discrepancies proactively, ensuring timely and precise compensation for student workers.
- Monitor regulatory changes in payroll processing, making necessary adjustments to ensure compliance with evolving tax and labor laws.
- Coordinate the auto-termination process for student employees, ensuring compliance with institutional and government regulations.
Job Posting and Website Management- Lead efforts to streamline job posting and application processes, ensuring that all positions are accurately reflected in the student employment portal and are consistent with university standards.
- Take ownership of the student employment website, ensuring that content is current, accessible, and aligns with the university's student employment goals.
- Independently assess website traffic and user feedback, using this information to refine the online job board experience for both students and departments.
Supervision of Student Employees- Supervise and mentor a team of 4 student employees, providing consistent coaching, professional development, and performance evaluations.
- Delegate responsibilities, monitor work performance, and adjust team tasks to meet the demands of student employment operations.
- Oversee the recruitment and selection of new student employees, ensuring that hiring decisions align with the department's needs and the university's goals.
Compliance and Documentation- Independently ensure that all student employment documentation is compliant with university policies and federal guidelines, making real-time decisions regarding forms and processes.
- Generate detailed reports for departments regarding student employment metrics, making recommendations for improvements based on audit results.
- Generate and deliver employment verification letters promptly, ensuring accuracy and completion within 24 hours of request.
Reporting and Communication
- Serve as the primary point of contact for student employment inquiries, responding to complex questions and offering expert guidance to students, hiring departments, and campus partners.
- Independently generate, analyze, and distribute detailed reports on student employment activities to support departmental planning and compliance efforts.
- Participate in committee meetings related to student employment, contributing strategic insights and recommendations to optimize the program.
- Other duties as assigned.
EducationBachelors degree in HR, Business, or related field.
Work Experience and Qualifications- 3-5 years relevant experience, preferably in a university or student employment setting.
- Proficiency in HR software and data management systems, preferably Workday.
- In-Depth understanding of federal and state labor laws related to employment practices.
- Strong organizational leadership and communication skills with a focus on compliance, data accuracy and process optimization.
- Proven experience in supervising teams, making strategic decisions, and working independently ideally within a university setting.
