Since our inception in 1968, we have been one of the largest providers of supports and services to people of all abilities in the community.The Human Resources Administrative Assistant is responsible for performing clerical and office functions to support the Human Resources team with regard to the recruiting, compliance and training functions while providing excellent customer service to employees and external stakeholders.ESSENTIAL FUNCTIONS* Assist with maintaining multiple HR data collection platforms to include but not limited to, Applicant Tracking System (ATS), ADP, excel trackers and eAcademy.* Responsible for updating workflows and users and ATS workflow reports* Responsible for department checklists, collecting documents, and updating excel trackers regularly.* Coordinate and complete appropriate training attendance/scheduling/orientation certificates and provide necessary follow up.* Responsible for regular communication and follow up with applicants and employees of all levels of the Agency.* Create employee personnel files; make copies, scan mail/e-mail and file records as needed.* Assist Site Receptionist with document review for new hires when needed.* Enter new hires into ADP.* Responsible for the preparation of the training room for orientation, i.e. snacks, giveaway items and order lunch for new employees and management.* Create and attach letters to action forms for internal transfers, promotions and resignations bi-weekly.* Save action forms and associated letters to employee files bi-weekly.* Collaborating with IT to obtain e-mails and badges for new hires.* Create reports for administration based on information in ADP, eAcademy or other platforms.* Complete employment verification forms or create employment verification letters.* Assign job descriptions for new hires and throughout changes in employment.* Update eAcademy based on status changes within the Agency.* Coordinate Hepatitis B vaccination appointment for new hires.* Assists with tracking of initial MAP requirements of new hires.* Assists with projects as necessary.* Answer and redirect phone calls to appropriate the member of the Human Resources team.* Attend meetings as required.* Assist in the organization and maintenance of the Human Resources equipment/supplies.QUALIFICATIONS* High school diploma or equivalent* 2 or more years administrative experience in recruitment and HR preferred.* Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).* Proven ability to handle confidential information with discretion.* Skill in organization, prioritization, and working independently.* Ability to communicate and work with others cooperatively.* Ability to multi-task.* Ability to work with a sense of urgency and overall awareness of deadlines.* Skill in administrative/office functions including but not limited to typing, and computer operations.* Valid drivers license required as well as a qualifying criminal background check.Why join our Team?Come work in a rewarding and creative environment that encourages growth, collaboration and community involvement that is exploding with opportunities.At People Incorporated you will find a path to endless opportunities and a rewarding career!
