Position Summary

Works under the direction of the Vice President of Human Resources in providing support to the Human Resources Department in all facets of the duties herein. Performs a variety of general office support duties: copying, scanning and faxing of documents, distribution of correspondence and packages received in the human resource department

What you will do:

Benefit Duties:

  • Assists with benefit new enrollments and terminations across all benefit products. This to include changes related to a change in status or a personal qualifying event.

  • Assists with completion of benefit verification documents as needed.

  • Actively contributes to internal and external benefit meetings and contributes to benefit strategic initiatives.

  • Assists with the benefit open enrollment process and coordination of annual employees benefits fair.

  • Assists with periodic benefit plan audits to ensure accuracy of benefit selection and invoicing as applicable.

  • Assists with coordination of quarterly employee retirement plan meetings.

  • Responds to retirement inquiries regarding employment status.

  • Prepares mandatory retirement mailing by the required deadline.

  • Acts as a liaison between the organization and external benefits providers and vendors.

  • Assists with benefit new enrollments and terminations across all benefit products. This to include changes related to a change in status or a personal qualifying event. Assists with completion of benefit verification documents as needed.

  • Management of Firelands Fitness club requests and circuit class payments and communication.

General/Other HR Duties:

  • Assists the HRIS Administrator with creating employee ID badges and with management of the ID database.

  • Manages name changes in HRIS and ensuring supporting documentation is received and on file.

  • Oversees the tenure recognition program and distributes monthly anniversary certificates.

  • Assists with compiling the monthly Star Performer recognitions for dissemination to the leadership team.

  • Manages name changes in HRIS and ensuring supporting documentation is received and on file.

  • Assists with Employee Focus Committee events and special projects.

Payroll Duties:

  • Reviews Firelands Health employee time records for accuracy and completeness, and contacts appropriate departments to acquire any missing information.

  • Completes related payroll deductions including but not limited to child support, garnishments, uniforms, TSA, direct deposit, cafeteria, gift shop, pharmacy, textbooks, accounts receivable, United Way, IRS Payroll Agreements, Helping Hands fund, Firelands Initiative and Annual Appeal.

  • Reviews change of status forms and termination notices and prepares and processes required documents to record payroll information.

  • Assist with answering employee questions, fixing payroll processing errors and processing of manual checks.

  • Maintenance of electronic payroll files.

  • Completes termination reports. Scans/saves terminated files to the computer.

  • Prepares termination or other special checks according to established procedures.

  • Assist with completing employment verifications and preparing letters verifying hours/wages.

  • Assist the Payroll Coordinator with retro calculations, tracking of retention bonuses and/or other special bonus payments.

What you will need:

  • Bachelor's degree in Human Resource or Business Administration along with 1-2 years' experience preferred.

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

  • Excellent analytical, written and verbal communication skills.

  • Strong attention to detail.

  • Expressed knowledge of federal and state regulatory requirements applicable to the position.

  • Proficiency in administrative duties such as communication, data entry and record keeping.

  • Must possess a valid State of Ohio motor vehicle operator's license and be insurable under Firelands' auto policy. Employee must provide proof of personal automobile liability insurance coverage upon request.

  • Successful completion of a 90-day probationary period.
