Job Type Full-time Description JOB TITLE: Human Resources AssistantLOCATION: Heppner CCS Admin OfficeSUPERVISOR: HR ManagerFLSA: 1 FTE Non-exempt (expectation to work 40 hours per week)PAY GRADE: B07 ($22.21 - $31.54 per hour depending on experience) Summary: The HR Assistant is responsible for providing administrative support to the HR team with all aspects of the department. This position will be involved with nearly all programs and services that relate to CCS' HR department. Most of the work is administrative in nature. Essential Duties and Responsibilities include the following. Other duties may be assigned. Daily job duties and responsibilities may include: • Answering employee questions • Processing incoming mail • Creating and distributing documents • Providing customer service to organization employees • Maintaining HR computer system by updating and entering data • Setting appointments and arranging meetings • Compiling reports and spreadsheets and preparing spreadsheets Recruitment/New Hire Process • Participating in recruitment efforts • Posting job ads and organizing resumes and job applications • Scheduling job interviews and assisting in interview process • Collecting employment and tax information • Ensuring background and reference checks are completed • Preparing new employee files • Overseeing the completion of compensation and benefit documentation • Orienting new employees to the organization (setting up a designated log-in, workstation, RELIAS log in, etc.) • Conducting benefit enrollment process Record Maintenance • Maintaining current HR files and databases • Updating and maintaining employee benefits, employment status, and similar records • Updates employee files to document personnel actions and to provide information for payroll and other uses. • Completes DMV registrations • Maintaining records related to grievances, performance reviews, and disciplinary actions • Performing file audits to ensure that all required employee documentation is collected and maintained • Performing payroll/benefit-related reconciliations • Performing payroll and benefits audits and recommending any correction action • Prepares and files reports of accidents and injuries at establishment. • Completing termination paperwork and assisting with exist interviews SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner • Must possess strong interpersonal skills • Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR team, and in group presentations and meetings • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information • Must be able to prioritize and plan work activities as to use time efficiently • Must be organized, accurate, thorough, and able to monitor work for quality • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback EDUCATION AND/OR EXPERIENCE High school diploma required Prefer 1 year related human resource experience and/or training; or equivalent combination of education and experience. LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. COMPUTER SKILLS To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. WORK ENVIRONMENT Work is performed in an office environment and the noise level is usually moderate, but occasionally may be exposed to loud noise such as raised voice levels and alarms. Occasional out of area travel and overnight stays will be required for attendance ant meetings or trainings. This position may be exposed to the everyday risks or discomforts which require normal safety precautions typical of such places as an office (i.e. moving mechanical parts, airborne particles, electrical shock, etc.).
