This role supports the HR department by ensuring accurate recordkeeping, retrieving documents as needed, and maintaining confidentiality.Core Duties/Responsibilities The successful candidate will be responsible for the following:File Management:
- Organize and maintain physical and electronic employee files.
- File new employee records, update existing files, and archive terminated employee documents.
- Ensure all documentation is properly categorized and easy to retrieve.Document Handling:
- Process employee documents
- Scan and digitize paper documents for electronic filing.
- Retrieve records for audits, management, or legal inquiries.Compliance:
- Maintain adherence to company policies and legal requirements for document retention and confidentiality.
- Dispose of outdated or unnecessary records in accordance with company procedures.Administrative Support:
- Assist with data entry for HR systems and databases.
- Provide support to the HR team for onboarding and ongoing audits.Quality Control:
- Ensure accuracy and completeness of records.
- Identify and correct any discrepancies in documentation.Skills, Capabilities and Attributes The successful candidate will demonstrate the following experience, skills, and behaviors:
- High school diploma or equivalent; additional coursework in office administration or HR preferred.
- Proven experience in a clerical or administrative role; HR experience is a plus.
- Proficiency with document management systems and office software (e.g., Microsoft Office Suite).
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Excellent communication and interpersonal skills.
