Position Title: Imaging and Mail Services Representative
Business Unit: Operations
Reports to: Supervisor of Imaging and Mail Services
Position Overview:
This position is responsible for processing and distributing high volumes of internal and external mail and packages including legal and regulatory documents for a substantial number of branch and office locations. The incumbent will adhere to all US postal standards and regulations along with financial institution policies and procedures. The position is responsible for indexing and scanning high volumes of financial, legal and regulatory documents of a sensitive nature for all areas of the corporation and their affiliates.
Primary Responsibilities:
Processes mail and packages for FNB Corp and affiliates, prioritizing time-sensitive items while maintaining strict confidentiality. Monitors for suspicious packages/envelopes and escalates concerns to management. Indexes and images documents for mergers, acquisitions, and regulatory projects per business needs.
Prepares outgoing mail using a folder inserter and connect machine or scanning shipping process per courier guidelines. Sorts, distributes, communicates returned mail, follows bank procedure for returned statements and debit cards.
Exercises time management, using multiple systems while meeting critical deadlines and service level standards. Ensures documents are sent quickly and securely. Works with third party vendors keeping current on updates and communication of issues and research discrepancies.
Scans legal and regulatory documents requiring detailed indexing and imaging. Imports documents and indexes for future retrieval. Monitors shared department email inbox and responds to internal questions or concerns.
Performs local courier run for delivery/pickup of mail.
Performs other related duties and projects as assigned.
