The Physician Scheduler will assist with Resident and Pediatric Emergency Medicine (PEM) provider scheduling in The Ronald O. Perelman Department of Emergency Medicine. The scheduler will create and maintain the schedules using ShiftAdmin and AMION. This position will collaborate with leadership to ensure all shifts are filled each block accurately, in a timely manner, and to the satisfaction of the providers. The position will also process the payroll transactions for moonlighting and other non-standard hours worked by providers. JOB RESPONSIBILITIES: Generate schedules on time and across multiple sites utilizing our web based program (Shift Admin, AMION) or other technology for 100 providers. Ensures providers will be assigned his/her minimum commitment of shifts based on open availability. Update schedule to accommodate changes that occur. Review schedule daily to ensure accuracy. Obtain regular and ad-hoc availability and scheduling preferences from contracted and per diem providers prior to block being scheduled. Confirm shifts with providers. Utilize scheduling policies and procedures. Assess monthly and ongoing coverage needs. Distribute schedules to providers in advance of start of block. Complete provider information forms for any new provider. Update and maintain provider contact and schedule information in Shift Admin. Develop and maintain good working relationships with providers. Communicate vital information to the team obtained from daily provider contact. Maintain spreadsheet of master yearly clinical hours, shift distribution, and time off. Accurately process payroll transactions for moonlighting and other non-standard hours worked. Respond to inquiries from management and individual clinicians. Demonstrates flexibility in response to unexpected changes and requests related to workload, emergencies, staffing and scheduling. Exercise critical thinking skills and judgment in problem solving. Detail oriented with excellent time management and organizational skills. Excellent communication and interpersonal skills including telephone and email correspondences with leadership and medical staff. Ability to work with minimal supervision. Any other duties deemed necessary by management. MINIMUM QUALIFICATIONS: Bachelor's Degree in a related field. Minimum one (1) years of complex medical staffing or patient scheduling experience. Proficient in the use of Microsoft Office Word and Excel. Ability to develop formulae for moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems. Ability to access e-mail, electronic calendars, and other basic office support software. PREFERRED QUALIFICATIONS: Two or more years experience of complex medical staffing or patient scheduling experience.
