Purpose of Position The Intake Coordinator/Receptionist for the OYC Miami Family Resource Center Inspires , Empowers and Enriches the lives of youth, adults, and families. This role will involve providing high-quality customer service and engagement for individuals and families seeking services at OYC Miami. Essential Duties and Responsibilities: •Represent OYC Miami in a professional manner at all times being the first point of contact at the front desk for the OYC Miami Family Resource Center•Receiving visitors by greeting, welcoming, directing and announcing them appropriately•Assisting visitors with scheduling appointments, care coordination (single referrals for services), and with visiting the OnMed Care Station (on-site health kiosk)•Placing follow up calls with families regarding resource needs, information and referrals, and confirmation of appointments •Assist families with enrollment processes for OYC program services•Assist the Family Services team with linking clients with the proper resources needed (i.e., information and referrals for community resources)•Answer incoming calls to the OYC Miami main line, screening, and forwarding to relevant staff •Direct visitors the appropriate staff person•Create meaningful relationships with community partners, such as key local residents, schools, intervention providers, and community-based organizations (e.g., contacting community partners and providers to verify resource availability to ensure accurate information for care coordination efforts)•Maintain office safety by following safety procedures and controlling access to the Family Resource Center reception area (e.g., monitor client log books, visitor sign in, client entry into reception area)•Promote client engagement •Research/identify community resources available to support client needs•Ensure accurate documentation of all client information and activities •Clerical tasks such as making photocopies, updating flyers with current information, and preparing email blast communications for parents/clients (e.g., sharing announcements regarding resources available and program updates)•Other duties as assigned by Direct SupervisorStandards for Measuring Performance: •Must hold and adhere to OYCs Core Values:o Competency o Humilityo Accountabilityo Adaptabilityo Intentionality Strong interpersonal and written communication skillsAbility to observe and report accurately on the functioning of individuals & familiesProficiency in Microsoft Office SuiteHands-on experience with office equipment (e.g., printers/copiers)Professional attitude and appearanceAbility to be resourceful and proactive when issues arise Ability to work effectively with persons of all ages and diverse backgrounds, skills and abilitiesAbility to handle confidential information appropriately Produce accurate and meaningful dataAttendance and Punctuality Positive and team-oriented attitudeAbility to set appropriate limits and boundaries with adults/studentsAbility to work flexible hours as required including weekends if neededAbility to act decisively when necessary to protect the individuals and familiesMulti-tasking and time-management skills with the ability to prioritize tasksRequirementsRequirements/Education/Experience: High school diploma or equivalent Bi-lingual (Creole/Spanish) preferredModerate computer skills / Microsoft Office Suite / Ability to learn web-based data systemsA minimum of 1-year experience working with adults/ youth programs requiredExperience working in community-based settingsWillingness to learn and engage in professional development activitiesDeep-seated belief that Overtown and surrounding communities can be a community in which youth, adults, and families thriveHave lived experience as a parent/caregiverMust have a valid driver's license and reliable transportationMust pass Level 2 background/drug test screening PHYSICAL REQUIREMENTS : (N=NEEDED P=PREFERRED)Repetitive Motion: N Sitting: N Standing: N Pushing/Pulling: PKneeling: P Carrying: PBending: N Reaching: N Lifting: P Walking: NOther - (repetitive standing: P)
