Job Description :

Thermal Works LLC has an exciting opportunity for an Inventory and Parts Coordinator to join our team, working directly with the Operations Department and focusing on inventory management, parts coordination, and logistics coordination. We are looking for someone who will provide essential support in the creation and management of purchase orders, as well as assist with logistics coordination. In this role, you will be responsible for maintaining accurate inventory levels, managing the procurement and delivery of parts, and ensuring seamless logistical support for the timely and efficient movement of goods across the supply chain. The Inventory and Parts Coordinator needs to be agile, professional, trustworthy with confidential information, and comfortable in a rapidly changing environment. The right person can work equally as well independently as with a team and will have strong experience in inventory management, purchase order processing, logistics operations, and overall warehouse knowledge.

Key Responsibilities

Include but are not limited to:

Inventory Management:

  • Oversee the inventory of parts, supplies, and materials, ensuring optimal stock levels and accurate tracking.
  • Conduct regular stock counts, monitor usage rates, and manage the replenishment process to maintain uninterrupted workflow.
  • Implement inventory control procedures to reduce shrinkage, prevent overstocking or stockouts, and ensure product availability.

Parts Coordination and Logistics:

  • Coordinate the receipt, storage, and distribution of parts and materials, ensuring proper handling, labeling, and organization of inventory.
  • Manage internal logistics to ensure parts and supplies are efficiently delivered to the correct departments or locations in a timely manner.
  • Collaborate with the warehouse team to optimize storage space and ensure quick access to frequently used parts.

Purchase Order Assistance:

  • Assist in the creation, processing, and tracking of purchase orders for parts and supplies, ensuring alignment with inventory needs and departmental requirements.
  • Coordinate with suppliers and vendors to ensure the timely delivery of parts, tracking shipments, and addressing any potential delays.
  • Verify that received goods match the purchase order specifications, quantities, and quality standards.

Logistics Coordination:

  • Monitor inbound and outbound logistics to ensure timely and cost-effective transportation of parts and materials.
  • Work with shipping and receiving teams to ensure proper documentation, including bills of lading, shipping instructions, and customs paperwork (if applicable).
  • Track and manage deliveries, ensuring goods are delivered on time and in good condition.
  • Manage logistics data and reports related to inventory, shipments, and supplier performance.

Data Entry & Reporting:

  • Enter inventory data, purchase order details, and logistics information into the inventory management system, ensuring real-time updates.
  • Generate reports on inventory status, purchase orders, shipment progress, and supply chain performance for management review.

Supplier and Vendor Relations:

  • Establish and maintain strong working relationships with suppliers, vendors, and logistics providers to ensure smooth operations and resolve any supply chain issues.
  • Assist with supplier negotiations to secure competitive pricing, optimal lead times, and favorable delivery terms.
  • Ensure proper tracking and resolution of backorders and shipping discrepancies, ensuring transparency and timely follow-up with vendors.

Safety, Compliance & Quality Control:

  • Maintain a clean, organized, and safe inventory and logistics area in compliance with company policies and regulatory standards.
  • Ensure that all inventory and parts meet quality standards before they are distributed or used in operations.
  • Ensure the proper storage, handling, and transportation of hazardous or sensitive materials (if applicable) in accordance with safety regulations.

Skills & Requirements

Education / Experience

  • High school diploma or equivalent; associate or bachelor's degree in supply chain management, logistics, business, or related field preferred.
  • Proven experience in inventory management, parts coordination, and/or logistics, with a focus on purchase orders and supply chain operations.
  • Knowledge of logistics processes, including shipping, receiving, and transportation management.
  • Experience with inventory management software, enterprise resource planning (ERP) systems, or logistics software.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.).

Specific Skills / Abilities

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Strong problem-solving abilities with a focus on efficiency and process improvement.
  • Forklift certification or willingness to obtain.
  • Knowledge of import/export documentation and customs procedures.
